Position Summary:

We are seeking a highly organized and proactive Executive Assistant to the Managing Director (EA to MD) with expertise in import procedures and import documentation. The ideal candidate will act as a trusted right hand to the MD, providing administrative, operational, and strategic support while ensuring seamless coordination of all import-related processes.


Key Responsibilities:

Executive Support:

  • Manage the MD's calendar, schedule appointments, and prioritize meetings.
  • Prepare meeting agendas, take minutes, and follow up on actionable items.
  • Screen and handle emails, calls, and correspondence on behalf of the MD.
  • Assist in preparing presentations, reports, and confidential documents.

Import Documentation & Coordination:

  • Oversee all aspects of import documentation , including invoices, bills of lading, certificates of origin, packing lists, and other compliance-related documents.
  • Ensure timely submission of documents to customs authorities and other regulatory bodies.
  • Coordinate with freight forwarders, shipping agents, and customs brokers for smooth clearance of shipments.
  • Monitor LC (Letter of Credit) compliance and handle bank-related documentation for import payments.
  • Stay updated on import regulations, tariffs, and trade agreements.

Administrative Support:

  • Maintain accurate records, files, and databases related to business operations and imports.
  • Coordinate with cross-functional teams to ensure timely communication and task execution.
  • Organize travel arrangements, including flights, visas, and accommodations, for the MD and senior team members.

Operational Support:

  • Track and report on key import metrics, timelines, and delivery schedules.
  • Assist the MD in strategic planning and execution of import/export strategies.
  • Identify and resolve issues in the import process, ensuring cost efficiency and compliance.


Qualifications & Skills:

  • Education: Bachelor’s degree in Business Administration, International Trade, or a related field.
  • Experience: Minimum 3+ years in an EA role, preferably with exposure to import/export operations .
  • Strong knowledge of import documentation, compliance, and regulatory requirements.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and document management systems.
  • Excellent communication, organizational, and time-management skills.
  • Attention to detail and the ability to handle confidential information with discretion.
  • Problem-solving mindset with a proactive and adaptable approach.
  • Familiarity with ERP systems and LC documentation is an added advantage.
