Position Overview:
**Key Responsibilities**:
Greet and welcome clients and visitors with a positive attitude.
Manage the reception area, including answering phone calls, directing inquiries to the appropriate person or department, and handling incoming and outgoing mail.
Maintain cleanliness and organization of the front desk area and lobby.
Schedule appointments and meetings, and manage conference room bookings.
Assist with administrative tasks such as filing, photocopying, and data entry.
Coordinate with other departments to ensure smooth operations and communication within the office.
Handle special projects and tasks as assigned by management.
Uphold company policies and procedures, including security protocols.
**Requirements**:
Bachelor’s degree or equivalent experience preferred.
Proven experience in a customer service or administrative role.
Excellent verbal and written communication skills.
Strong interpersonal skills and the ability to interact with clients and visitors in a professional manner.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to multitask and prioritize tasks effectively in a fast-paced environment.
Attention to detail and accuracy in all work.
Ability to maintain confidentiality and handle sensitive information with discretion.
**Preferred Qualifications**:
Experience with office management software or CRM systems.
Previous experience in a similar role within the industry.
Knowledge of basic office equipment (e.g., printers, scanners, fax machines).
Fluency in additional languages may be advantageous, depending on the clientele served.
