Tender Executive

**Key Responsibilities**:
- **Tender Identification & Monitoring**:
- Regularly monitor tender portals, websites, and other sources to identify relevant opportunities.
- Keep track of tender deadlines and ensure timely submission.
- Maintain a database of open, closed, and upcoming tenders.
- **Bid Preparation & Coordination**:
- Thoroughly review tender documents (RFP, RFQ, EOI, etc.) to understand the client's requirements.
- Gather information from various departments (technical, legal, financial) for bid preparation.
- Coordinate with vendors and suppliers for obtaining relevant quotations.
- Prepare and compile technical and financial proposals as per the tender guidelines.
- Ensure the accuracy and completeness of tender submissions.
- **Documentation & Submission**:
- Compile all required tender documentation including legal, technical, and commercial documents.
- Submit tenders in the correct format, including online and hard copy submissions.
- Ensure compliance with all the legal and regulatory requirements.
- **Follow-up & Clarifications**:
- Follow up with clients regarding tender status and handle any clarifications or additional requests.
- Coordinate with the internal team to provide responses for any post-tender inquiries.
- **Record Keeping & Reporting**:
- Maintain an updated repository of all submitted tenders and related documentation.
- Track the performance of tenders and provide periodic reports to management on success rates and lessons learned.
- **Post-Bid Negotiation & Coordination**:
- Assist in contract negotiation and finalization after the tender is awarded.
- Ensure proper handover of the project to the execution team after successful tendering.
- **Market Research & Competitor Analysis**:
- Conduct market research to stay updated on industry trends, competitor activities, and pricing strategies.
- Analyze feedback from unsuccessful bids and suggest improvements for future tenders.
**Key Skills & Qualifications**:
- **Education**:
Bachelor’s degree in Business, Procurement, Engineering, or a related field.
- **Experience**:
Minimum of 2 years of experience in tendering, procurement, or a similar role, preferably in marketing agency.
- **Technical Skills**:
- Strong knowledge of the tendering process and regulations.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Experience working with e-tendering portals.
- **Soft Skills**:
- Excellent communication and writing skills.
- Strong organizational and project management skills.
- Ability to handle multiple tenders simultaneously and meet tight deadlines.
- Strong attention to detail and problem-solving ability.
- **Other Requirements**:
- Familiarity with relevant laws and regulations governing tenders and contracts.
- Ability to work independently and as part of a team.
Pay: ₹20,000.00 - ₹25,000.00 per month
