Executive Documentation

**1. Summary**:
The Executive Documentation plays a vital role in the company's commercial operations by preparing, maintaining, and organizing all types of documents and certificates in a timely manner. They coordinate with forwarders, Customs House Agents (CHA), export documentation agencies, laboratories, and APEDA, ensuring that all documents are accurately prepared and submitted within the required timelines.
**2. Documentation**:
- Prepare Purchase order as per Instruction.
- Preparation of IRN Generation for E-Invoicing & E-Way
- Prepare Export Invoice & Packing list as per instruction & Provide to CHA & Other Concerned Person
- Coordinate with CHA for facilitate export container dispatch Clearances & ensure accurate & Compliant customs procedures
- Prepare APEDA Certificate
- Prepare & Monitor any Organic rice lab report COC, SGS, Legalization, COO, Phyto, Fumigation as per requirement.
- Check & Approve of Shipping bill, Check List, B/L Draft/ Lab Reports as per requirement.
- Prepare complete export document original & Office Copy Dispatch to Concern Office / person
- MIS Daily Document tracking report, Daily dispatching report, Courier tracking Report
**3. Reporting/Filing**:
- Conduct periodic reporting of all activities
- Manage documentation, filing, and record-keeping
**4. Ad-hoc Activities**:
- Assist in Ad-hoc activities
- Preparing reports - as required by Reporting Manager / Directors/ MD
**5. Working Relationship**:
- External: Customers, Suppliers, and Service Providers
- Internal: Directors, Managing Director Reporting Manager, Assistant, employees from other departments, and colleagues within the same department.
**6. Qualification**:
- Gender: Male/female
- Age: 25-40 years
- Qualification: Any Graduate and Diploma holder
- Post Qualification Experience: 4-5 Years
- Industry Experience: Any Export Organization / Forwarder/CHA
- Team Management
**7. Ideal Experience/ Knowledge**:
- Advanced skills in Excel and MS Office
- Ability to provide accurate and timely reports to the Reporting Manager and Directors
- Experience in implementing company policies and procedures
- Skilled in document management and official correspondence
- Strong communication skills
- Excellent interpersonal abilities, with experience interacting with various levels of staff
- Effective time management and reporting skills
- Strong attention to detail
