Job Summary: As the Executive Secretary to the CEO, will be the primary point of contact and provide comprehensive administrative and secretarial support to the CEO of the animation company. This role is pivotal in managing the CEO’s schedule, handling communications, and ensuring the smooth functioning of the CEO’s office. Collaborating with the executive team, stakeholders, and other departments, you will contribute to the overall efficiency and effectiveness of the CEO’s office.

Key Responsibilities:

- Calendar Management: Efficiently manage the CEO’s calendar, scheduling meetings, appointments, and events, while prioritizing conflicting demands.
- Communication: Act as a liaison between the CEO and internal/external stakeholders, handling correspondence and communication on behalf of the CEO.
- Travel Arrangements: Organize domestic and international travel arrangements, including flights, accommodation, and itineraries for the CEO and executive team.
- Meeting Support: Prepare meeting agendas, take minutes, and provide necessary materials and documentation for meetings attended by the CEO.
- Office Management: Maintain the CEO’s office, ensuring it is well-organized, stocked with supplies, and equipped for efficient operations.
- Confidentiality: Handle sensitive and confidential information with utmost discretion and professionalism.
- Document Management: Manage and organize documents, reports, and files related to the CEO’s office, ensuring easy retrieval and access to essential information.
- Follow-up and Reminders: Provide timely reminders and follow-up on tasks and deadlines to ensure the CEO’s commitments are met.
- Special Projects: Assist the CEO in special projects and initiatives as assigned, conducting research, preparing reports, and coordinating with relevant stakeholders.
