**Company Description**:
We are a fast-growing innovative start-up building a SaaS based Software Platform to help the service management companies manage their clients and vendors, deliver a next level service and streamline their end-to-end business operations. Our software allows our clients to automate workflows, eliminate manual and duplicate processes, reduce time spent in generating service requests, work orders, invoices and help them get paid faster in a seamless manner.
We are currently seeking a skilled and detail-oriented **Vendor Coordinator **who will primarily be responsible for managing and coordinating the paperwork and follow-up processes associated with completed work orders for our US Clients. This role ensures that all necessary documentation is in place, maintaining effective communication with vendors, and guaranteeing a seamless transition from task completion to record-keeping.
**Responsibilities**:
- Review completed work orders to confirm all tasks have been executed as per specifications and within the allotted time.
- Maintain regular communication with vendors to address any outstanding issues, discrepancies, or missing documentation.
- Encourage vendors to sign up and utilize the client's software portal for quick turnarounds.
- Ensure that all paperwork, including invoices, receipts, work report, and compliance documentation, is accurately submitted and organized in the company's records.
- Verify that all required vendor documentation, such as licenses, insurance, and contracts, is current and compliant with company policies and legal requirements.
- Prepare and maintain accurate records and reports on vendor performance and compliance.
- Act as a mediator between vendors and internal departments to resolve any issues related to work order completion and documentation.
- Continuously identify areas for process improvement and propose solutions to enhance efficiency..
**Qualifications**:
- Proven experience in vendor coordination, follow-ups, work order management, or a related role.
- Excellent communication and interpersonal skills are required..
- Strong organizational and time management abilities.
- Attention to detail and the ability to work under pressure.
- Proficiency in document management and record-keeping software.
- Problem-solving skills and the ability to resolve conflicts effectively.
- Knowledge of industry-specific regulations and compliance standards.
**Shift Timings**:6 PM - 3 AM IST (8.30 AM - 5.30 PM EST)**
