**Summary**
The person will be responsible for managing and overseeing organization's day-to-day administrative processes and perform a diverse set of support tasks to ensure the organization and its facilities have the resources needed to operate smoothly and efficiently.
**Responsibilities**:
The person will be responsible for overall administration ensuring smooth running of the office, manage and monitor office facilities and assigned support services to ensure their effective and efficient operation as well as maintenance; its safety, supplies and services.
- Dealing with the vendors and external agencies, maintaining records of vendors, following the procurement processes, maintaining stock and asset register and asset maintenance.
- Organize procurement of consumables / stationery supplies as required for the office and monitor its use.
- Custody of all office assets, their safety, insurance, tracking movements, regular updates of the Asset register and spot check.
- Ensure that all office facilities & equipment are functional all the time and be in charge of arranging and repairs replacements & maintenance.
- Vendor Management (selected vendors agreements & vendors reviews).
- Coordinate arrangements for meetings, visits, workshops and conferences, related to projects.
- Ensure effective management of office facilities and layout, including indoor and outdoor office premises as well as maintaining cleanliness, tidiness, and orderliness through daily inspections and necessary corrective actions.
- Ensure maintenance of office equipment such as work stations, air conditioners, computers, printers, inverters, water purifiers, air purifiers, and CCTV cameras. -Maintain petty cash.
- Leave Management
- Travel and accommodation arrangements and other administrative task as assigned by line manager.
- To design and implement systems and procedures for smooth functioning of the department
- Provide support in setting up equipment for new staff and arrange proper formatting of equipment.
- Ensure that IT back up service is available to all staff.
- Coordinate maintenance of all office equipment and utilities, ensuring that all equipment’s are insured and properly maintained.

**Eligibility and Required Skill**
**Qualification - **Graduate / Post-graduate in any stream.
**Experience - **Proven experience of 4 to 5 years in administration**.**

Excellent communication and interpersonal skills.
- Proven ability to develop and execute organisational and administrative ideas.
- Proven ability to work well under pressure and multitask.
- Ability and willingness to travel occasionally
