Job Title: Executive assistant to the Director (HR, Business Function, Administration, Digital Marketing, Compliance, and Communications)

Overview:
As an Executive Assistant reporting directly to the Director, you will play a pivotal role in ensuring the smooth functioning of various key areas within the company, including HR, business operations, administration, digital marketing, compliance, and communications. You will be responsible for providing high-level administrative support, managing projects, coordinating activities, and facilitating communication across different departments.

Key Responsibilities:
1. Human Resources (HR):
Maintain employee records, update HR databases, and ensure compliance with labor laws and regulations.

Handle employee inquiries, address HR-related issues, and facilitate employee engagement initiatives.

Assist in the development and implementation of HR policies and procedures.

2. Business Function:
Provide administrative support to the Director in various business-related tasks, including scheduling meetings, preparing presentations, and organizing travel arrangements.

Assist in budget preparation, expense tracking, and financial reporting.

Coordinate with other departments to ensure seamless execution of business plans and initiatives.

Conduct research and analysis to support strategic decision-making processes.

3. Administration:
Oversee office administration tasks, including managing office supplies, equipment maintenance, and facility management.

Coordinate logistics for company events, meetings, and conferences.

Handle correspondence, manage filing systems, and maintain organizational documentation.

Assist in the development and implementation of administrative policies and procedures.

4. Digital Marketing and Social Media:
Monitor and analyze digital marketing metrics, track campaign performance, and generate reports.

Coordinate with external agencies or vendors for graphic design, website maintenance, and other digital marketing activities.

Stay updated on industry trends and best practices in digital marketing and social media.

5. Compliance:
Ensure compliance with relevant regulations, industry standards, and company policies across all functional areas.

Assist in conducting audits, risk assessments, and compliance reviews.

Collaborate with legal counsel or compliance officers to address regulatory requirements and mitigate compliance risks.

Provide training and support to employees on compliance-related matters.

6. Communications:
Assist in the development and execution of internal and external communication strategies.

Draft and edit communication materials, including memos, newsletters, and press releases.

Manage corporate communications channels, such as the company website, intranet, and social media platforms.

Coordinate public relations activities and media relations efforts.

Qualifications and Skills:
Bachelor's degree in business administration, human resources, marketing, communications, or related field.

Proven experience in administrative support roles, preferably in a corporate environment.

Strong organizational skills with the ability to manage multiple tasks and prioritize deadlines effectively.

Excellent communication and interpersonal skills, both verbal and written.

Proficiency in Microsoft Office Suite and familiarity with digital marketing tools and platforms.

Knowledge of HR practices, business operations, compliance requirements, and communication principles.

Attention to detail, problem-solving abilities, and a proactive approach to tasks.

Ability to maintain confidentiality and handle sensitive information with discretion.
