**Position Overview**
The Executive Assistant (EA) will provide high-level administrative support to senior executives, ensuring smooth daily operations, efficient management of the executive’s time, and effective coordination of tasks and meetings. The role requires a detail-oriented, proactive, and highly organized individual who thrives in a fast-paced environment and has excellent communication and interpersonal skills.
**Key Responsibilities**:
- Manage and prioritize complex calendars, schedule meetings, appointments, and travel, ensuring time is allocated effectively, including last-minute changes, and ensure all stakeholders are informed.
- Organize domestic and international travel arrangements, including flights, accommodations, and itineraries. brief the executive on schedules, and handle any changes or issues as they arise.
- Prepare agendas, documents, presentations, and reports for meetings.
- Attend meetings as necessary, take minutes, and ensure follow-up actions are completed.
- Organize and manage logistics for conferences, off-sites, and special events.
- Assist with ad hoc projects, ensuring deadlines are met, and provide support in tracking and reporting project progress.
- Collaborate with other departments to ensure initiatives are on track and well-communicated.
- Oversee day-to-day operations in the executive’s office, including filing, supplies, and equipment management.
- Handle sensitive information with the utmost discretion and maintain confidentiality in all aspects of the role.
- Manage confidential documents, contracts, and corporate data securely.
- Proactively manage daily tasks, prioritize effectively, and ensure that critical activities and projects are completed on time.
- Identify opportunities to streamline processes and improve efficiency in the executive's workflow.
**Qualification**
- Master’s degree in Business Administration, Communications, or a related field preferred.
- At least 3-5 years of experience in an executive support or administrative assistant role, preferably within a corporate or fast-paced environment.
- Experience managing complex calendars, travel arrangements, and sensitive communications.
- Exceptional ability to prioritize, manage multiple tasks, and stay organized under pressure.
- Strong verbal and written communication skills, with the ability to interact confidently with senior leaders and external partners.
- Ability to think quickly and proactively solve problems that may arise unexpectedly.
- High level of accuracy and attention to detail in all aspects of work.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, and other relevant software tools.
- Demonstrated ability to handle confidential information with discretion and professionalism.
- Highly motivated, self-starter, and adaptable.
- Strong sense of initiative with a proactive approach to tasks.
- Calm under pressure with the ability to maintain professionalism in all situations.
