**Overview**:We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to the CEO of our industrial lift manufacturing company. As the Executive Assistant, you will play a crucial role in ensuring the smooth operation of the CEO's office by handling administrative tasks, managing schedules, facilitating communication, and contributing to the overall efficiency of the executive team.

**Key Responsibilities**:
**Calendar Management**:Coordinate and manage the CEO's calendar, including scheduling appointments, meetings, and travel arrangements.
Prioritize appointments and ensure that the CEO's schedule aligns with business priorities.

**Meeting Coordination**:Schedule and organize meetings, conferences, and events involving the CEO.
Prepare meeting agendas, materials, and presentations as needed.
Take accurate meeting minutes and distribute them to relevant stakeholders.

**Travel Arrangements**:Plan and arrange domestic and international travel itineraries for the CEO and other executives.
Coordinate travel logistics, including flights, accommodations, transportation, and visas.

**Administrative Support**:Handle administrative tasks such as expense reporting, invoice processing, and document management.
Maintain organized files and records, both physical and digital.

**Information Management**:Research and gather information for presentations, reports, and projects as requested by the CEO.
Ensure data accuracy and confidentiality in all tasks.

**Relationship Management**:Interact professionally with internal and external stakeholders, including clients, partners, and board members.
Foster positive relationships on behalf of the CEO.

**Project Coordination**:Assist in coordinating and tracking various projects and initiatives led by the CEO.

**Confidentiality and Discretion**:Handle sensitive and confidential information with the utmost discretion and professionalism.

**Requirements**:

- Proven experience as an executive assistant or similar role, preferably supporting C-level executives.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong verbal and written communication skills, demonstrating professionalism and attention to detail.
- Proficiency in using productivity tools such as Microsoft Office Suite, Google Workspace, and calendar management software.
- Exceptional problem-solving skills and the ability to anticipate the needs of the CEO.
- Strong interpersonal skills, with the ability to interact confidently and effectively with individuals at all levels.
- Discretion and integrity in handling confidential information.
- Bachelor's degree in business administration, communications, or a related field is preferred.
