Administration Executive

**Position Overview**:
The Administrative Executive plays a pivotal role in ensuring the smooth functioning of administrative tasks within the organization. This position requires a proactive individual with exceptional organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The Administrative Executive will support various departments by managing office operations, coordinating administrative activities, and providing administrative support to senior management.
**Responsibilities**:
- **Office Management**:
- Supervise daily office operations to ensure efficiency and productivity.
- Oversee office maintenance, including cleanliness, organization, and safety protocols.
- Manage office supplies inventory and coordinate procurement as needed.
- **Administrative Support**:
- Provide administrative support to senior management, including scheduling meetings, managing calendars, and making travel arrangements.
- Prepare and distribute correspondence, memos, and reports.
- Assist in the preparation of presentations and documents for meetings and presentations.
- **Communication and Correspondence**:
- Serve as the primary point of contact for internal and external communications.
- Draft and proofread correspondence, documents, and reports.
- **Data Management and Recordkeeping**:
- Maintain accurate and up-to-date records, databases, and filing systems.
- Organize and manage documents, both electronic and physical, ensuring easy retrieval and confidentiality.
- **Event Coordination**:
- Assist in the planning and coordination of company events, meetings, and conferences.
- Coordinate logistics, such as venue booking, catering, and audiovisual requirements.
- **Vendor Management**:
- Liaise with vendors and service providers to ensure timely delivery of goods and services.
- Negotiate contracts, obtain quotes, and manage vendor relationships.
- **Support HR Functions**:
- Assist in recruitment processes, including job postings, scheduling interviews, and onboarding new hires.
- Maintain employee records, including attendance, leave, and performance evaluations.
**Requirements**:
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Proven experience as an Administrative Assistant, Executive Assistant, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Excellent organizational and time-management skills, with the ability to prioritize tasks.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Attention to detail and accuracy in all work.
- Strong interpersonal skills and the ability to work effectively in a team environment.
- Proactive problem-solving abilities and a can-do attitude.
- Flexibility and adaptability to meet changing priorities and deadlines.
**Salary**: ₹15,000.00 - ₹20,000.00 per month
