**Personal Assistant (Operations)**

**Key Roles and Responsibilities of Personal Assistant (Operations).**

** Property & Equipment Maintenance
- **Ensuring that the building is properly maintained both internally and externally.

** Safety and Security
- **Implementing and enforcing safety protocols to protect occupants and assets within the building.

** Manpower Management - **plays a crucial role in managing House Keeping & Security Guards efficiently. Here are some key responsibilities of office administration in this regard.

** Postage and Courier Management
- **Managing Postage and Courier Services Coordination of Outgoing and incoming mails or parcel, address and cost management, Compliance and Security.

** Licence & Records Management-** Overseeing licence agreements, including negotiations, renewals, and applicability.

** Regulatory Compliance**: Staying up-to-date with relevant laws, regulations, and building codes

** Financial Management**: Timely budgeting and financial planning for building operations, including expenses such as maintenance, utilities, insurance, and property taxes, handling accounts related to building and reporting to finance department for smooth operation.

** Vendor Management**: Selecting and supervising vendors and contractors for services such as maintenance, repairs, cleaning, gardening and landscaping.

** Energy Efficiency and Sustainability**: Implementing measures to improve energy efficiency, such as installing energy-efficient Lighting, Air conditioning, CCTV, Fridge, Microwave, EPABX and water-saving fixtures.

** Maintaining Attendance Records**: Managing employee attendance is a critical aspect of office administration**.**

** Travel Arrangement**: plays a crucial role in managing business travels efficiently.

** Guests and Visitors Management**: Coordinating appointments and meetings with visitors, Greeting and Reception, Communication Liaison, Hospitality Services.

** Occasion & Festivals Management**:Event Planning and Coordination, Budget and Vendor Management, Health and Safety Compliance, Post-Event Evaluation.

** Tenant Relations**: Managing relationships with tenants, addressing their concerns, and ensuring their needs are met.

** Continuous Improvement**: Office administrator regularly evaluate and update processes and procedures to streamline operations, improve efficiency, and enhance the overall experience.
