Job Summary:

We are seeking a detail-oriented and proactive Administrative Supervisor to manage day-to-day administrative operations at our interior and furnishing project sites. The ideal candidate will oversee site documentation, staff coordination, inventory control, vendor communications, and general site support activities to ensure smooth and efficient project execution.

Key Responsibilities:

  • Supervise and coordinate all administrative activities on-site related to interior and furnishing works.
  • Maintain accurate and up-to-date site documentation, including attendance records, delivery notes, material inward/outward registers, and contractor logs.
  • Ensure proper inventory management of furnishing materials, tools, and supplies; coordinate with procurement and warehouse teams.
  • Liaise with vendors, suppliers, and contractors to ensure timely deliveries and documentation.
  • Monitor and manage petty cash expenses; maintain daily expenditure records and submit reports to the accounts department.
  • Coordinate logistical needs such as site access, ID cards, temporary accommodations, and site utilities.
  • Maintain cleanliness, orderliness, and administrative efficiency across the site office.
  • Prepare and submit weekly and monthly administrative reports to the head office.

Qualifications:

  • Bachelors degree in Business Administration, Management, or related field.
  • Minimum 3 years experience in a similar administrative role, preferably on interior or construction sites.
  • Knowledge of interior fit-out/furnishing materials and site workflows is an advantage.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency in MS Office (Word, Excel, Outlook) and basic knowledge of project management tools.
  • Ability to work independently under pressure and manage multiple tasks simultaneously.

Preferred Attributes:

  • Hands-on approach with strong problem-solving ability.
  • Familiarity with health, safety, and labor regulations on construction/interior sites.
  • Fluency in English and local language(s).
  • Willingness to be based on-site full-time.
