Job Summary:


We are seeking a highly skilled Microsoft 365 IT Specialist to join our team. This role is pivotal in managing, enhancing, and developing our Microsoft 365 ecosystem, including SharePoint intranet and Teams, to ensure seamless usage for all company employees. The successful candidate will also be responsible for developing a helpdesk tool within M365, curating IT policies and procedures, conducting training sessions, enforcing IT policies, and maintaining a digital asset log of company assets.


Key Responsibilities:

  • SharePoint Intranet Management:
  • Develop, maintain, and enhance the SharePoint intranet to meet company needs.
  • Ensure seamless operation and user access to the SharePoint intranet.
  • Work with various departments to implement Powered Apps solutions that improve workflow and productivity.
  • Ensuring data validation / synchronization with existing Document Library and ERP (Odoo).
  • Teams Management:
  • Manage and enhance the Microsoft Teams environment to facilitate efficient communication and collaboration across the company.
  • Implement best practices for Teams usage and oversee its integration with other Microsoft 365 tools.
  • Helpdesk Tool Development:
  • Develop and manage a helpdesk tool within Microsoft 365 to receive and track support tickets raised by employees.
  • Ensure the helpdesk tool is user-friendly and efficiently addresses the IT support needs of the company.
  • IT Policy and Procedure:
  • Curate, review, and update IT policies and procedures to align with company objectives and IT best practices.
  • Conduct regular training sessions to ensure employees are familiar with IT policies and procedures.
  • Monitor compliance and enforce IT policies within the company.
  • Training and Support:
  • Provide training and support to employees on Microsoft 365 tools and IT policies.
  • Develop training materials and documentation to assist employees in utilizing IT resources effectively.
  • Digital Asset Management:
  • Maintain an up-to-date digital asset log, including tracking of laptops, printers, phones, and other company assets.
  • Oversee the distribution, maintenance, and inventory of digital assets to ensure optimal utilization.
  • Cross-Functional Collaboration:
  • Work closely with various departments to understand their IT needs and provide Microsoft 365 solutions that support business objectives.
  • Liaise with external vendors and support teams as required.


Additional Key Responsibilities:


  • Onboarding New Employees:
  • Develop and manage a streamlined onboarding process for IT setups for new employees, including email creation, account setups, and software provisions based on role-specific needs (e.g., Adobe Acrobat, Microsoft Office Suite).
  • Coordinate with HR and departmental heads to ensure all necessary IT resources are prepared in advance of the new hire start date.
  • Provide initial IT orientations and training to new employees on company IT policies, software use, and data security practices.
  • Offboarding Exiting Employees:
  • Oversee the IT offboarding process for exiting employees, ensuring a smooth transition of company assets and securing company data.
  • Disable email accounts and other access credentials immediately upon employee exit notification.
  • Back up and secure any important data from the employee’s laptop and OneDrive, followed by proper data handling as per company policy (archiving or deletion).
  • Ensure all company assets are returned and perform a full inventory check against the digital asset log.
  • Laptop and Digital Asset Control:
  • Manage and maintain all laptop and digital assets OS updates and configuration
  • Implement policies for the use and security of laptops and other digital assets, including encryption, password protection, and authorized software guidelines.
  • Conduct regular audits of digital assets to ensure compliance with IT policies and procedures.
  • Manage software licenses and updates to ensure all laptops and digital assets are running up-to-date and secure software.
  • Remote Employee Management:
  • Develop mechanisms to monitor and support the IT needs of remote employees, ensuring they have the necessary tools and access for efficient work.
  • Implement secure remote access solutions (e.g., VPNs) to allow safe access to company networks.
  • Establish clear guidelines and training for remote employees on data security, use of personal devices for work purposes, and expectations for availability and productivity.


Qualifications:


  • B.Sc. degree in Information Technology, Computer Science or equivalent
  • 4 years of experience as a Technical Support Engineer / Cloud Support Engineer or similar role
  • Ability to prioritize tasks based on urgency and importance.
  • Strong knowledge of MS Windows Servers / Linux (Linux, Redhat, Solaris)
  • Cloud or Virtualization technology experience (Azure, AWS, VMWare, Xen or KVM)
  • Good understanding of web Services, API and IP based protocols
  • Knowledge of Storage Systems (NFS shares a big plus)
  • Solid networking experience -routers, switches, firewalls (Juniper or Force 10 are a big plus)
  • Willingness to learn and adapt to the entire technology stack.
  • Solid research skills with an emphasis on finding and using information quickly.
  • Strong oral and written communication skills, team player mentality
