Key Responsibilities:

  1. Administrative Oversight:

    • Manage day-to-day administrative activities including office maintenance, supplies procurement, and vendor management.
    • Develop and implement efficient administrative policies and procedures to streamline operations.
    • Ensure compliance with company policies and regulations.

  2. Facilities Management:

    • Supervise facilities management, including workspace planning, maintenance, and security.
    • Coordinate office renovations, relocations, and ensure facilities meet health and safety standards.
    • Manage relationships with landlords, building management, and external service providers.

  3. Team Support:

    • Provide administrative support to various departments as needed.
    • Assist in organizing company events, meetings, and conferences.
    • Coordinate travel arrangements and accommodation for employees.

  4. Financial Management:

    • Prepare and monitor the departmental budget.
    • Track expenses and ensure cost-effective operations.
    • Review and approve invoices and expense reports.

  5. HR and Compliance:

    • Assist in HR functions such as onboarding new employees and maintaining employee records.
    • Ensure compliance with legal and regulatory requirements related to administrative functions.

  6. Communication and Coordination:

    • Serve as a point of contact between management, employees, and external stakeholders.
    • Facilitate effective communication within the organization through memos, reports, and presentations.

Requirements:

  • Proven experience as an Assistant Manager / Manager in administrative roles.
  • Strong organizational and multitasking abilities, Compliance.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office and administrative software.
  • Bachelor's degree in Business Administration or relevant field (preferred).
  • Certification in Facilities Management or related fields (a plus).
