Job Description – Office Executive

Position: Office Executive
Department: Administration / Operations
Reports to: Office Manager / HR / Director

Role Overview:

The Office Executive is responsible for handling day-to-day administrative and office support tasks to ensure smooth business operations. The role involves managing documentation, coordinating with internal teams, supporting management, and maintaining an organized work environment.

Key Responsibilities:

  • Manage office files, records, and documentation (physical and digital).
  • Handle phone calls, emails, and correspondence professionally.
  • Coordinate meetings, appointments, and schedules for management.
  • Assist in preparing reports, presentations, and data entry.
  • Support HR and accounts teams with basic administrative tasks.
  • Manage office supplies, inventory, and vendor coordination.
  • Ensure smooth day-to-day office operations and housekeeping.
  • Assist new employees with onboarding formalities when required.
  • Act as a point of contact between staff, management, and external stakeholders.

Requirements:

  • Prior experience as Office Executive / Office Assistant / Admin role is an advantage.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and basic computer knowledge.
  • Good communication and organizational skills.
  • Ability to multitask and manage time effectively.
  • Positive attitude, reliability, and attention to detail.
