
Executive Personal Assistant

We are seeking an organised and proactive Executive Personal Assistant to support three directors managing international projects and ventures. With over two decades of success in luxury residential design and construction, our company offers a fast-paced and dynamic environment.
Responsibilities:
· Manage diaries, schedules, and travel arrangements.
· Handle correspondence, meeting preparation, and follow-ups.
· Provide support across both business and personal matters.
· Maintain confidentiality and professionalism at all times.
· Use digital tools and AI platforms to improve efficiency.
· Create and format documents, presentations, and reports; draft emails and meeting minutes.
· Conduct research; summarise findings into clear briefing notes.
· Capture and document information; maintain personal records and structured online filing systems in SharePoint
· Act as a buffer between directors and the wider team - track delegated actions, chase progress, and report status etc.
· Assist with ad hoc tasks and proactively anticipate needs.
· Translate loose requests into clear task lists and processes; help structure, automate, and streamline workflows
· Manage small projects end-to-end with minimal handholding, including timelines, stakeholders, and updates.
Requirements:
· 5+ years' PA/EA experience at executive level.
· Excellent English written and verbal communication skills.
· Strong organisational and multitasking ability with rigorous follow-through.
· Tech-savvy: Microsoft 365 and digital productivity tools.
· SharePoint/OneDrive proficiency for file structure, access control, and versioning.
· Proven experience preparing polished documents/reports and accurate minutes.
· Ability to coordinate across multiple time zones; high discretion and sound judgment.
