We are seeking a dynamic individual to fill the position of Head Administrator specializing in Indirect Purchase and Facility Management. The ideal candidate will be responsible for overseeing all aspects of procurement related to indirect purchases and efficiently managing facilities to ensure a safe and conducive work environment. This role requires excellent leadership, organizational, and communication skills, as well as a strong understanding of procurement processes and facility management best practices.
Responsibilities:Indirect Purchase Management:Develop and implement strategies for sourcing and procuring indirect goods and services, including office supplies, equipment, and services such as maintenance and repairs.Collaborate with department heads to understand their procurement needs and requirements, and ensure timely fulfillment of purchase orders.Evaluate suppliers and negotiate contracts to secure favorable terms and pricing while maintaining quality standards.Monitor and analyze procurement trends, market conditions, and supplier performance to identify opportunities for cost savings and process improvements.Ensure compliance with company policies, industry regulations, and ethical standards in all procurement activities.
Facility Management:Oversee the day-to-day operations of company facilities, including office buildings, warehouses, and other physical assets.Develop and implement maintenance schedules and procedures to ensure the proper functioning and safety of facilities, equipment, and utilities.Coordinate with external vendors and service providers for facility maintenance, repairs, and renovations as needed.Manage facility budgets, expenses, and capital projects, and identify opportunities to optimize costs while maintaining quality and safety standards.Implement and enforce security protocols, emergency preparedness plans, and health and safety regulations to protect employees and assets.
Team Leadership and Collaboration:Lead, mentor, and develop a team of administrative and facilities staff, providing guidance, support, and performance feedback.Foster a culture of collaboration, accountability, and continuous improvement within the department.Collaborate with cross-functional teams, including finance, human resources, and IT, to support company-wide initiatives and strategic objectives.Communicate effectively with stakeholders at all levels of the organization, including senior management, to provide updates, gather feedback, and address concerns related to indirect purchases and facility management.
