Job Summary:
We are seeking an organized, proactive, and detail-oriented Admin Executive to support the day-to-day operations. The Admin Executive will play a key role in ensuring smooth internal processes, assisting with project management, maintaining office systems, and providing essential administrative support to the internal teams.
This role is ideal for someone with strong communication skills, a collaborative mindset, and a knack for multitasking.
Key Responsibilities:
Administrative Support:
Handle day-to-day office tasks, including managing phone calls, emails, and correspondence.
Organize and schedule appointments, meetings, and events for team members and clients.
Prepare and maintain company documents, reports, presentations, and other materials.
Assist in drafting, editing, and proofreading marketing materials, proposals, and client communications.
Client and Vendor Communication:
Manage client queries, resolve minor issues, and escalate to the appropriate team when necessary.
Support the onboarding process for new clients, including setting up meetings and ensuring necessary documentation is completed.
Office & Facilities Management:
Ensure the office space is organized, well-stocked, and meets the needs of the team.
Order office supplies, equipment, and services as needed.
Coordinate office events, team-building activities, and company-wide meetings.
Data & Record Management:
Maintain filing systems (physical and digital) for easy access and retrieval of company records, contracts, and other important documents.
Assist in tracking and organizing company finances, including invoice submissions, receipts, and basic budget reporting.
General Office Management:
Support the management team with scheduling interviews, managing employee records, and maintaining a welcoming office environment.
Handle basic bookkeeping and assist with payroll processing as needed.
Provide support for internal and external communications, including managing newsletters and internal announcements.
Marketing Assistance:
Assist with the implementation of digital marketing campaigns (social media, email newsletters, content management).
Update and maintain company website and social media profiles.
Research industry trends and competitors to provide insights and support marketing strategies.
Required Skills & Qualifications:
Education: Bachelor’s degree in Business Administration, Marketing, Communications, or a related field preferred.
Experience: At least 0.6–1.5 years of administrative experience, preferably in a marketing, creative, or agency environment.
Skills:
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and project management tools
Ability to prioritize and manage multiple tasks simultaneously.
Attention to detail and a high degree of accuracy in all work.
Familiarity with basic marketing tools and platforms (e.g., social media, email marketing platforms) is a plus.
