Job Title: Executive Assistant

Job Location: Perungudi, Chennai

Position Summary:

This position serves as a strategic partner, providing high-level administrative and operational support. This role is pivotal in enhancing the CEO's effectiveness by managing schedules, communications, and special projects, ensuring seamless organizational operations.

Key Responsibilities:

1. Calendar & Schedule Management

  • Oversee and optimize the CEO's calendar, ensuring alignment with organizational priorities.
  • Coordinate meetings, appointments, and travel arrangements, anticipating and resolving scheduling conflicts.
  • Prepare daily briefs and agendas to keep the CEO informed and prepared.

2. Communication & Correspondence

  • Act as the primary liaison between the CEO and internal/external stakeholders.
  • Manage and prioritize incoming communications, drafting responses and ensuring timely follow-ups.
  • Maintain confidentiality and discretion in handling sensitive information.

3. Meeting & Event Coordination

  • Organize and facilitate executive meetings, including Board of Directors sessions.
  • Prepare meeting materials, record minutes, and track action items to completion.
  • Plan and execute events and off-site meetings from CEO's office.

4. Project Management & Strategic Support

  • Assist in the execution of strategic initiatives and special projects.
  • Conduct research and analysis to support decision-making processes.
  • Collaborate with cross-functional teams to drive organizational objectives.

5. Travel & Logistics

  • Arrange comprehensive travel itineraries, including accommodations and transportation.
  • Ensure all travel plans align with the CEO's schedule and organizational commitments.

Qualifications:

  • Any graduation/ post-graduation degree.
  • Minimum of 12 years supporting C-level executives in a dynamic environment.
  • Exceptional organizational and time-management abilities.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and calendar management tools.
  • Ability to work independently and handle multiple priorities.
  • High level of discretion and professionalism.
