Procurement Contracts Administrator

Job Scope / Activities

  1. Procurement contract intake
  2. Manage the shared inbox for requests from business owners
  3. Create pending records in contract management system
  4. Coordinate, send and route for internal reviews and approvals as per company policies and guidelines (i.e., finance review / approval; legal review / approval; security / privacy review approval)
  5. Manage contract renewals
  6. Generate report from contract management system for 30-60-90 day expiring contracts and auto-renewing contracts
  7. Send communication to business owners for all expiring and renewing contracts
  8. Host meetings with specific internal groups (e.g., Tech) to review the 30-60-90 report
  9. Update contract management system accordingly
  10. Send termination notices, as applicable
  11. For renewals, kick-off intake
  12. Coordinate, send and route for internal reviews and approvals as per company policies and guidelines (i.e., finance review / approval; legal review / approval; security / privacy review approval)
  13. Prepare forms for business owners (i.e., legal-approved contract forms) in line with company guidelines

Responsibilities

  1. Understand and adhere to company policies, in accordance with DOA
  2. Meet internal SLAs to ensure timely contract lifecycle management
