Executive Assistant to CEO

Key Responsibilities:
1.Administrative Support:
Manage the CEO's calendar, schedule meetings, and coordinate appointments.
Manage personal and professional schedules with all confidentiality and with a professional attitude.
Handle and prioritize incoming emails, phone calls, and other correspondence.
Prepare and edit documents, reports, and presentations for the CEO.
Assist in maintaining an organized filing system.
Other duties as assigned
2.Travel and Logistics:
Arrange travel itineraries, accommodations, and transportation for the CEO.
Prepare travel expense reports and track expenses.
3.Communication:
Serve as a liaison between the CEO and internal/external stakeholders.
Draft, proofread, and distribute internal and external communications on behalf of the CEO.
4.Meeting Support:
Prepare meeting agendas, materials, and take meeting minutes as needed.
Coordinate and set up conference calls, video conferences, and in-person meetings.
5.Project Coordination:
Assist the CEO in tracking and monitoring progress on key projects.
Collaborate with various departments to ensure project deadlines are met.
6.Confidentiality:
Maintain strict confidentiality and handle sensitive information with discretion.
7.Event Planning:
Assist in organizing company events, board meetings, and other special occasions.
8.Office Management:
Ensure the CEO's office is well-organized and stocked with necessary supplies.
Assist in managing the CEO's professional contacts and networks.
Qualifications:
Bachelor's degree or equivalent experience preferred.
5 to 10 years of experience
Proven experience as an executive assistant or similar role.
Excellent organizational and time management skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong written and verbal communication skills.
Ability to handle multiple tasks and prioritize effectively.
Exceptional attention to detail.
Discretion and ability to maintain confidentiality.
Strong problem-solving skills.
Professional and polished demeanor.
Flexibility to work outside of regular business hours when necessary.
Preferred Skills:
Experience in project management.
Proficiency in using office equipment and software (e.g., video conferencing tools, document management systems).
Knowledge of the company's industry and business operations.
