Role OverviewThe Travel Desk Executive is responsible for managing all travel-related activities for employees and guests, ensuring seamless coordination, cost-effective arrangements, and compliance with company policies. This role demands excellent organizational skills, attention to detail, and a customer-first mindset.

Key Responsibilities

  • Coordinate domestic and international travel bookings (flights, hotels, transport)
  • Handle visa applications and travel documentation
  • Negotiate rates with travel vendors and maintain vendor relationships
  • Ensure adherence to company travel policies and budgets
  • Provide real-time support for travel changes, cancellations, or emergencies
  • Maintain accurate MIS for travel records and expense reports
  • Liaise with HR and Finance for approvals and reimbursements
  • Update travelers with itinerary details and travel advisories
  • Monitor travel trends and suggest improvements to travel processes

Required Skills & Qualifications

  • Bachelor's degree in Hospitality, Travel, Business Administration, or related field
  • 2+ years of experience in travel coordination or customer service
  • Proficiency in travel booking platforms (e.g., Amadeus, Galileo, Sabre)
  • Strong communication and negotiation skills
  • Ability to multitask and work under pressure
  • Familiarity with international travel regulations and visa processes
  • High level of confidentiality and professionalism

Preferred Qualifications

  • Certification in Travel Management or IATA
  • Experience handling executive-level travel (CEO, COO, etc.)
