Role DescriptionThe Administrative Assistant provides high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The role requires a high degree of professionalism, discretion, and confidentiality. The role would involve working very closely with the management on various duties including those listed below.

Key ResponsibilitiesResearch and Reporting:

Conduct research and compile information for the Director's projects and initiatives. Prepare reports, summaries, and presentations based on findings.Support Services:

Provide administrative support to various departments, including preparing documents, organizing events, and assisting with special projects.Scheduling and Coordination:

Schedule and coordinate meetings, appointments, and travel arrangements for staff members. Prepare meeting agendas, take minutes, and distribute them as needed.Document Preparation and Management:

Prepare and edit correspondence, reports, presentations, and other documents as required. Ensure all documents are accurate, professional, and meets standards. Create, organize, and maintain electronic and paper files and records. Ensure documents are easily accessible and up to date.Data Entry and Reporting:

Input and update data in databases and spreadsheets. Generate reports, presentations, and other documents as required.Financial Tasks:

Assist with basic bookkeeping tasks, such as expense reports, purchasing orders etcCommunication:

Answer and direct phone calls, handle incoming and outgoing mail and emails, and act as the primary point of contact for general inquiries.Special Projects:

Assist with special projects and initiatives as assigned by the Director. Take on additional duties and responsibilities as needed to support the Director and the organization.Visitor and Office Management:

Maintain an organized and welcoming office environment. Greet and assist visitors, clients, and vendors in a professional and friendly manner.

Skills:Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Excellent verbal and written communication skillsStrong organizational and time management skillsAbility to multitask and prioritize tasks effectivelyHigh level of professionalism and discretion in handling confidential informationStrong interpersonal skills and the ability to work well with all levels of staff and external contactsProblem-solving skills and attention to detail
