Executive Assistant to M.D

Location - Mumbai HO

We are looking to engage for the position of Executive Assistant to M.D at our HO in Mumbai. 

Please note that we are only looking at candidates from Mumbai


The Executive Assistant we are in need of will work directly with the Managing Director and will be responsible for supporting the planning, administration, communication, reporting and following up the needs of the Managing Director undertaking a variety of tasks to support his vision, strategy and tactics. 

He/She will be responsible for filtering and triaging inbound communications in line with business objectives and priorities working with other departments to ensure on-time execution.

Responsibilities

  • Manage emails, information, and other communications; answer where possible – highlight and prioritise those that need MD attention
  • Maintain inward and outward correspondence record for the MD across projects
  • Manage & answer MD’s work phone, maintain log
  • Plan and maintain MD’s calendar and recurring tasks, arrange appointments, organise and set agendas and action points for all his meetings
  • Maintain MD’s family asset records and timely provide the information to accounting team
  • Act as ‘follow-up Manager’ across the company to ensure that a wide range of agreed actions are being executed
  • Type up notes, emails, presentations and reports; circulate and file information effectively
  • Book travel and accommodation as and when required
  • Manage company’s website, Page, updation of company profile, etc,.
  • Manage company’s accreditations such as ISO, government registrations etc., including annual audits
  • Collaborate effectively with all staff, clients, and suppliers
  • Provide good relationship management with the client
  • Other projects/duties as assigned for the overall benefit of the organisation 

Requirements

  • Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, Clients, and Vendors
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions

Qualifications

  • Bachelors degree
  • Excellent skills in office softwares, i.e., MS office (word, excel & powerpoint)
  • Experience of 3-4 years in a similar role / environment
  • Language skills required - English, Marathi and Gujarati
