Job Overview:

We are seeking a dynamic and proactive individual to fill the role of Studio Coordinator for our Architecture & Interior Design consultation studio. This position serves as the primary point of contact between the business owner, the internal team, and clients, facilitating smooth communication, monitoring delegated tasks, and ensuring that client needs are met in a timely and professional manner. The successful candidate will play a critical role in maintaining strong relationships with both internal stakeholders and external clients, while also supporting business growth through effective communication with prospects.


Responsibilities

1. Communication Facilitation:

  • Act as a liaison between the business owner and the internal team, conveying instructions, updates, and feedback in a clear and timely manner.
  • Monitor delegated tasks and project timelines, providing reminders and follow-ups to ensure that targets are met and deadlines are adhered to.
  • Foster a collaborative and communicative work environment by facilitating regular team meetings, disseminating important information, and addressing any concerns or issues raised by team members.


2. Client Relations Management

  • Serve as the primary point of contact for clients, providing updates on project status, addressing inquiries or concerns, and ensuring that client expectations are effectively managed.
  • Follow up with clients regarding payments in a courteous yet persistent manner, ensuring timely receipt of payments and resolving any payment-related issues promptly.
  • Cultivate strong relationships with clients through proactive communication, attentive listening, and personalized interactions, aiming to exceed client expectations and foster long-term loyalty.


3. Prospect Engagement

  • Receive communications from new prospects and engage them effectively by providing information about the studio's services, capabilities, and portfolio.
  • Prepare introductory emails, presentations, and quotes tailored to the specific needs and preferences of each prospect, collaborating with the design team, accounts team, and business owner as needed.
  • Conduct follow-up communications with prospects to answer questions, address concerns, and guide them through the decision-making process, with the goal of converting leads into satisfied clients.


4. Administrative Support

  • Assist in the preparation of emails, presentations, and other communication materials as needed, ensuring accuracy, professionalism, and adherence to brand guidelines.
  • Maintain organized records of client communications, project details, and prospect interactions, utilizing appropriate tools and systems for efficient data management.
  • Collaborate with the accounts team to ensure accurate invoicing, billing, and financial reporting related to client projects and payments.


Qualifications

  • Bachelor's degree in Business Administration, Communications, Marketing, or a related field preferred.
  • Proven experience in a similar role, particularly in client relations, project coordination, and communication management.
  • Exceptional verbal and written communication skills, with the ability to convey complex information clearly and effectively.
  • Strong interpersonal skills, with the ability to build rapport and establish trust with both internal team members and external clients.
  • Highly organized with excellent time management skills and the ability to multitask and prioritize responsibilities effectively.
  • Proficiency in productivity software such as Microsoft Office Suite, as well as experience with email marketing platforms and CRM systems.
  • Customer-focused mindset with a passion for delivering exceptional service and building lasting relationships.
