Job Description: Administrative Assistant
Location: Onsite, Bangalore Ferns Office
Years of Experience: 3 to 5 years
Schedule: Indian Normal Work Hours (with potential for overtime)
Workspace Type: Assigned Work from Office
Job Summary:
We are seeking an organized and proactive Administrative Assistant to support our Dynamics Support Team in Bangalore and Hyderabad. This role will primarily assist the leader and business in daily operations, ensuring smooth workflow and efficient management of administrative tasks.
Key Responsibilities:
- Calendar Management:
- Maintain and manage the Dynamics India calendar, scheduling meetings, appointments, and events for the leadership team.
- Asset Management:
- Oversee the management and tracking of assets, ensuring proper documentation and compliance.
- Event Coordination:
- Plan and execute internal and external events, including logistics, vendor coordination, and participant communication.
- Purchase Order (PO) Management:
- Assist in the preparation and processing of POs and ensure timely follow-up on approvals and transactions.
- Expense & Invoice Management:
- Track, manage, and reconcile expenses and invoices, ensuring adherence to budgetary guidelines.
- Presentation Preparation:
- Create and format presentations for meetings and executive visits, ensuring high-quality output.
- Travel Management:
- Coordinate travel arrangements, including bookings for flights, accommodation, and transport, while managing itineraries.
- Executive Visits:
- Support the organization of executive visits, including agenda preparation, meeting arrangements, and hospitality.
- Vendor Management:
- Liaise with vendors and service providers to ensure timely delivery of services and products.
- Ad-hoc Tasks:
- Assist with additional administrative tasks as required to support the team and organizational goals.
Top Skills Required:
- Calendar Management: Ability to manage complex schedules and prioritize tasks effectively.
- Travel Management: Experience in coordinating travel logistics and accommodations efficiently.
- Excellent Communication: Strong verbal and written communication skills to interact with stakeholders at all levels.
Additional Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with project management tools and techniques.
- Strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- Ability to work collaboratively in a fast-paced environment.
- Discretion and confidentiality in handling sensitive information.
Qualifications:
- Bachelor’s degree in Business Administration or related field preferred.
- Previous experience in an administrative role, preferably supporting senior management.
- Understanding of Dynamics software is a plus.
