This role will drive efficiency, ensure compliance, and manage a small team while creating scalable processes to support our growth and improve employee satisfaction across all functions.
Outcomes:1. Achieve a XX% reduction in operational costs (admin, travel, IT, vendor management, etc.) within the first year2. Reduce operational bottlenecks by at least XX% and improve response times for internal service requests.3. Ensuring that 100% of key operational vendors are under contract with clear SLAs by the end of year one4. Develop scalable operations processes to support 2x growth in employee count and business activities over the next 12 months, ensuring smooth transitions without operational delays
Key Responsibilities:
1. Administrative Operations:Office Management: Ensure the smooth daily functionality of all physical offices of HV, creating a productive and pleasant environment for employees and visitors.Logistics Development: Develop and maintain time and cost-efficient logistics procedures to support operational needs.Travel Processes: Establish and maintain efficient company travel processes, ensuring compliance and safety standards for all travel-related activities.Asset Management: Own the safety and maintenance of all HV assets, conducting regular audits and coordinating necessary repairs or upgrades.
3. HR Operations:Policy Implementation: Liaise with the People & Culture (P&C) team for the smooth implementation of HR policies and practices.Onboarding Process: Own the onboarding experience for new joiners, ensuring they have access to necessary hardware and software tools from day one.
4. Vendor Management:Requirement Gathering: Collaborate with all teams to gather requirements, identifying areas for improvement and exploring optimal market solutions.Vendor Evaluation: Conduct documented vendor evaluation processes, negotiate pricing, and select solutions that effectively address operational challenges.
5. Team Management:Team Leadership: Manage a team of 2, providing guidance, support, and mentorship to enhance their performance and professional development.Performance Evaluation: Conduct regular performance evaluations, setting clear goals and providing constructive feedback to team members.
6. Legal Operations:Document Management: Execute legal documents timely and maintain both hard and digital copies for compliance.Legal Liaison: Work with the legal team to co-manage the legal archive, ensuring all records are up to date and accessible.
7. Finance Operations:Vendor Payments: Ensure timely payments to vendors and service providers, managing all related financial documentation.Operational Support: Assist the finance team with operational aspects as needed, including management of cards and bank accounts.
8. Internal & External Audits:Audit Facilitation: Support and facilitate smooth internal and external audits, ensuring compliance with all operational procedures and standards
We are looking for someone with:
Bachelor’s degree in Business Administration, Operations Management, or a related field; advanced degree preferred.Minimum of 5 years of experience in operations management, with at least 1 year in a leadership role for candidates with 5 years total experience, or at least 3 years in a leadership role for candidates with up to 8 years.Proven experience in a startup environment or transitioning from a startup to an MNC.Strong organizational and project management skills with a keen attention to detail.
