Our office in Mumbai has an exciting and rare opportunity for an Office Administrator to join the team and assist with running the daily operation.

Job Description

As an Office Administrator you will be a key member of the team in our Mumbai office and will be the go to person supporting the sales teams with their day-to-day tasks and ensuring smooth operation across the office.

Office Administrator duties will include but are not limited to:

  • Assisting the directors with daily administration tasks
  • Co-ordinate, organise and manage the office diary whilst assisting the wider team with scheduling client meetings & diary reminders
  • Maintaining flight files and assisting with preparing flight briefs
  • Managing travel and accommodation needs for brokers
  • Diarise and prepare for visits to ACS by suppliers, customers or interviewees
  • Organising training for office as required
  • Greet and welcome guests on arrival
  • Assisting with office recruitment, working with the wider HR team to screen candidates
  • Coordinate new starter information, manage contracts and offers
  • Taking meeting minutes and typing these up in a timely manner post meeting
  • Scheduling employee appraisals & keeping up-to-date employee records on file
  • Maintain a clean and organised office area at all times, processing and distributing daily post
  • Regular liaison with service providers.
  • Manage Health and Safety in the office to comply with local legislation.
  • Manage office supplies and purchase within budget agreed by the Office CEO
  • Any other ad hoc administration tasks

Qualifications

  • Degree in Business Administration or relevant disciplines
  • ​​​Minimum 2 years' experience in office administration gained in multi-national / foreign companies
  • Experience in company secretary and/ or start-up environment is a plus
  • Fluency in English and Hindi
  • Strong sense in business common practice in India
  • A hard-working team player
  • Excellent attention to details
  • Exceptional communication skills
  • A high sense of urgency
  • Ability to multi task
