                                                          Job Description: Executive Assistant 

Job Summary

We are looking for a detail-oriented and resourceful Executive Assistant to provide high-level administrative and operational support to our senior leadership team in the real estate business. This role requires exceptional organizational skills, strong communication abilities, and a deep understanding of the fast-paced nature of the property market. You will help manage schedules, coordinate property-related activities, prepare reports, and act as a bridge between the executive office and internal/external stakeholders.

Key Responsibilities

1. Executive Support

  • Manage and maintain the executive’s calendar, meetings, and travel schedules.
  • Draft, review, and organise property-related reports, agreements, and presentations.
  • Handle incoming calls, emails, and correspondence on behalf of the executive.

2. Real Estate Coordination

  • Assist in preparing and maintaining property listings, brochures, and marketing materials.
  • Coordinate with sales, marketing, and project teams for property site visits and client meetings.
  • Maintain updated knowledge of ongoing projects, pricing, and availability.

3. Meeting & Event Management

  • Organise meetings with clients, investors, and developers.
  • Prepare agendas, take detailed minutes, and track follow-up actions.
  • Coordinate company participation in property exhibitions, open houses, and networking events.

4. Documentation & Compliance

  • Maintain confidential client records, agreements, and legal documents.
  • Ensure timely filing and accuracy of property transaction paperwork.
  • Liaise with legal and compliance teams to ensure adherence to regulations.

5. Communication & Liaison

  • Serve as the primary contact point between the executive office and internal departments.
  • Build and maintain relationships with clients, investors, vendors, and partners.
  • Provide timely updates and reports to senior management.

Qualifications

  • Bachelor’s degree in Business Administration, Real Estate Management, or related field.
  • 3–5 years of experience as an Executive Assistant (real estate industry preferred).
  • Strong organisational and multitasking abilities.
  • Proficiency in MS Office, Google Workspace, and CRM software.
  • Excellent verbal and written communication skills.
  • Discretion in handling confidential and sensitive information.
