A critical role in providing high-level administrative support and acting as a key liaison between the Executive Director and various internal and external stakeholders. This position requires exceptional organizational skills, a strong sense of confidentiality, and the ability to proactively manage tasks and responsibilities to ensure the smooth operation of the executive office.
Total Positions : 3
1 Position experience ranging from 3 to 5 Years
1 Position experience ranging from 7 to 12 Years
1 Position experience ranging from 15 to 20 Years
Both position requires hands on Lean tools & techniques, method Study & TPM – JIPM implementation. Well organized process driven Business Excellence professional in identifying the degree of gap and the right tool selection for implementation
The JD highlights mostly the administrative part, but the requirement is of candidate having experience in Process/Operational /Business excellence.
Responsibilities:
1. Confidential Information Management:
- Act as the primary point of contact for the Executive Director, ensuring all communication and information are handled with the utmost confidentiality and sensitivity.
- Provide relevant and timely information to concerned stakeholders, departments, and external agencies as needed.
2. Meeting Coordination:
- Schedule and coordinate business reviews, functional meetings, and appointments for the Executive Director.
- Ensure all relevant parties are informed and follow up on action items and tasks assigned during these meetings.
- Maintain an up-to-date calendar for the Executive Director.
3. Stakeholder Engagement:
- Act as a liaison between the Executive Director and internal stakeholders, facilitating communication and follow-ups to ensure timely delivery of reports and closure on assigned activities.
4. Data Management and Reporting:
- Prepare Management Information System (MIS) reports, dashboards, and presentations by coordinating and consolidating required information.
- Analyze data to draw meaningful inferences and present insights to assist in decision-making.
5. Key Initiatives Monitoring:
- Serve as a single point of contact for key initiatives and projects, monitoring their progress and reporting updates to the Executive Director.
- Collaborate with project teams and departments to ensure initiatives are on track and deliver as per expectations.
6. Project Implementation Support:
- Actively engage in project implementation activities, providing support as required to ensure projects are delivered successfully according to specifications and timelines.
Education Qualification:
· B.Tech/BE/ME/M.Tech in industrial/production engineering preferred /chemical or mechanical background.
MBA with reputed colleges like IIM's , XLRI , SIBM , NMIMS , IIFT , NITIE , and other renowned colleges
Technical Competencies/Skills:
Microsoft Office Suite: Proficiency in Word, Excel, PowerPoint, and Outlook, Social Media Management, Project Management Tools, Database Management, File Organization and Document Management, Spreadsheets and Data Analysis, Virtual Meeting Platforms.
