Job Summary:
The Executive Assistant will provide high-level administrative support to the Managing Director (MD), ensuring efficient operation of the executive office. This role involves managing schedules, coordinating meetings, preparing reports, and handling confidential information with utmost discretion.
Key Responsibilities:
- Administrative Support:
- Manage the MD’s calendar, schedule meetings, and arrange travel.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle incoming and outgoing communication, ensuring timely responses.
- Meeting Coordination:
- Organize and coordinate internal and external meetings.
- Prepare agendas, take meeting minutes, and follow up on action items.
- Project Management:
- Assist in managing key business projects and initiatives.
- Track project progress, deadlines, and deliverables.
- Communication & Liaison:
- Act as a liaison between the MD and internal/external teams
- Maintain professional relationships with clients and team members.
- Data Management:
- Maintain confidential records, files, and databases.
- Conduct research and compile data for decision-making and presentations.
- Travel & Event Management:
- Arrange detailed travel itineraries and accommodations.
- Assist in planning company events, conferences, and team activities.
- Office Management Support:
- Oversee office supplies and manage vendor relationships as needed.
- Support in administrative tasks related to company operations.
Qualifications:
- Bachelor’s degree in Business Administration or related field.
- Proven experience as an Executive Assistant or in a similar role.
- Proficiency in MS Office Suite and business communication tools.
- Excellent organizational, time-management, and problem-solving skills.
- Strong written and verbal communication skills.
- Ability to work independently and maintain confidentiality.
Preferred Skills:
- Experience in project management.
- Familiarity with industry-related standards and best practices.
- Multitasking and adaptability in a fast-paced environment.
