Executive Assistant to Global CEO Job Summary: C Ahead Technologies is seeking a highly organized, proactive, and professional Executive Assistant to support the Global CEO. This role demands a dynamic individual who is an excellent communicator, able to manage multiple priorities, and ensure the smooth running of the CEO's office. The ideal candidate will be experienced in handling confidential information, working in a fast-paced environment, and providing top-notch administrative and strategic support to the CEO.Key Responsibilities: Executive Support:Serve as the primary point of contact for all internal and external communications related to the CEO. Manage and maintain the CEO's calendar, scheduling meetings, appointments, and travel arrangements. Prepare meeting agendas, briefing materials, and minutes for high-level meetings, including board meetings and executive sessions. Handle confidential and sensitive information with discretion and maintain a high level of professionalism at all times.Administrative Tasks:Organize and manage the CEO’s correspondence, including emails, calls, and letters. Prioritize requests and manage deadlines. Coordinate travel logistics, including flights, accommodations, itineraries, and visas for international and domestic trips. Assist with preparation of presentations, reports, and other business documents. Act as a liaison between the CEO and the leadership team, ensuring smooth communication and the alignment of priorities.Strategic Support:Conduct research, gather data, and provide analysis to assist the CEO in decision-making. Manage and track key initiatives or projects, ensuring timely follow-up and completion. Coordinate with other departments to support cross-functional projects and company initiatives. Assist in preparing high-level presentations for key stakeholders, including investors, clients, and partners.Report Coordination & Management:Collect, review, and analyze reports from department heads across the company, including finance, operations, marketing, sales, technology, and HR. Synthesize data from department reports into concise, actionable summaries for the CEO. Prepare a comprehensive report package for the CEO, ensuring it is aligned with strategic priorities and business objectives. Propose key insights and recommendations to the CEO based on department head reports, highlighting potential opportunities, risks, and areas of improvement. Ensure regular follow-up with department heads to address questions or gather additional information as needed.Event Coordination:Assist in planning and coordinating company events, conferences, and executive offsites. Oversee the logistics for meetings, conferences, and events, ensuring that all arrangements are seamless and in line with the CEO’s preferences.Relationship Management:Develop and maintain strong relationships with key stakeholders, including board members, senior executives, clients, and partners. Represent the CEO’s office in a professional manner in all interactions, ensuring alignment with the company’s values and objectives.Qualifications:Education:Bachelor’s degree in business administration, Communications, or a related field.Experience:Minimum of 5 years of experience in an executive assistant or similar role supporting senior executives in a global organization.Skills:Strong organizational and time management skills with the ability to prioritize tasks. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management tools. Ability to handle sensitive and confidential information with discretion. Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.Attributes:High level of professionalism, integrity, and discretion.
