Job Title: Receptionist & Administrative Assistant

Description: We’re looking for an organised, dependable, and friendly Receptionist & Administrative Assistant to be the welcoming face of our law firm. This role combines reception duties with a variety of administrative and office management tasks. You’ll help keep our office running smoothly, support our team, and make sure our clients always feel comfortable and well cared for. We value professionalism, warmth, and integrity more than degrees or titles. What You’ll Do

Front Desk & Client Care

  • Greet clients and visitors warmly and make them feel at home.
  • Answer and direct phone calls, take messages, and handle general inquiries.
  • Keep the reception and meeting areas tidy and inviting.
  • Arrange tea, coffee, and refreshments for client meetings and office gatherings.

Mail & Record Keeping

  • Receive, log, and distribute all incoming and outgoing mail and courier packages.
  • Maintain and update records of deliveries and dispatches in the office database.
  • Coordinate with courier partners for timely pickups and deliveries.

Office Upkeep & Maintenance

  • Monitor and replenish office supplies and pantry provisions.
  • Supervise cleaning staff and ensure the office is well-kept and functional.
  • Track and coordinate Annual Maintenance Contracts (AMCs) for appliances, pest control, and other services.
  • Liaise with vendors and service providers for repairs and maintenance.

Team & HR Support

  • Maintain attendance and leave records.
  • Assist in onboarding new team members and ensuring they have what they need to get started.
  • Help organise small staff events and celebrations.
  • Circulate notices and assist with simple HR or administrative paperwork.

General Support

  • Provide administrative support to lawyers and the management team as needed.
  • Help with scheduling, follow-ups, and day-to-day coordination.
  • Handle all information with discretion and professionalism.

What We’re Looking For

  • Friendly, courteous, and dependable — someone who enjoys helping people.
  • Good verbal and written communication skills in English and Hindi.
  • Organised and detail-oriented, with the ability to multitask.
  • Comfortable using basic computer applications (MS Office, email, data entry).
  • A professional diploma or vocational course in office administration, secretarial practice, or a similar field is ideal.
  • Previous experience in an office or reception role is preferred.
