Position Summary:


We are looking for an exceptional Operations Coordinator to fill in one of the key roles in our newly emerging and evolving Professional Services Delivery Excellence team.

You will be responsible to support the operations director with day-to-day support for the operations of our eCommerce line of business, which involves development and implementation of operational policies and procedures, time management tracking, administrative tasks, assisting other company departments as needed, and ensuring smooth daily operations.

A successful Operations Coordinator should be highly organized and have a versatile skill set to support a variety of different business functions with a diverse range of tasks.


Roles & Responsibilities:

Assisting with the management of daily operational activities.
Timesheet & invoice tracking as well as month-end closing activities.
Coordinating the proper allocation of human resources.
Arranging and assisting with the onboarding of new employees.
Aid in budgets and preparing financial reports for senior management.
Aid in development, implementation and review of operational policies and procedures.
Preparing and maintaining operations reporting.
Capturing processes and best practices.
Communication to impacted team members when new processes are introduced or existing processes are changed.
Monitoring team activity to ensure processes are adhered to.
Providing reporting on team KPIs with focus on quality, productivity, controls and adherence to process
Maintaining team information sites and ensuring that processes, org charts and any helpful information on the sites is up to date and relevant
Actively seek ways to improve the team's ability to perform their roles through continuous improvement
May take on a lead or supporting role for internal projects with focus on operational evolution

Key Skills and Competencies:

Minimum 3 years' experience as an Operations Coordinator in a similar Professional Services environment or equivalent.
Understanding of general finance and budgeting, including profit and loss.
Ability to build consensus and relationships among managers, partners, and employees.
Strong analytical and organizational skills.
Process oriented with a lean mindset and a passion for continuous improvement
Excellent communication and listening skills.
Ability to work under pressure.
Strong computer proficiency including experience with Google suite.
Must be detailed and solutions-oriented.
Ability to analyze and solve problems, perform complex tasks, prioritize multiple projects and follow through
Ability to make sound decisions and judgments
Ability to work independently and multi-task, in a fast paced and constantly changing environment
