We have an exciting opportunity for you to join our team as Assistant Manager/Deputy Manager – Client Acceptance Process, reporting to the Manager, this full-time and permanent position is based in Mumbai, India and offers regional coverage, allowing you to make a significant impact to our Client Acceptance Department and its' growth.

Key responsibilities:

  • Process Management: Manage and ensure that the client acceptance processes (1LOD CLC) are conducted in line with standard rules and regulations.
  • KYC and Due Diligence: Perform Client Onboarding, Client Review, offboarding, screening, and due diligence of clients according to the established policies and procedures.
  • Collaboration: Work closely with Vistra internal stakeholders to ensure process tasks are delivered as per agreed SLA standards (completeness, timeliness, and accuracy).
  • Transition Support: Collaborate with the Head of Client Acceptance to ensure transitions are planned, supported, and executed. Ensure training for service deliveries is completed in full, and process documentation includes clear work instructions.
  • Policy Adherence: Ensure the team continually adheres to internal policies and procedures related to client acceptance.
  • Organization and Proactivity: Maintain exceptional organizational skills and the ability to work under pressure to tight deadlines. Proactivity is highly desirable.
  • KYC Compliance: An understanding of multiple countries' customer KYC compliance is desirable. Manage the team to consistently deliver high-quality compliance.
  • Administrative Responsibilities: Oversee client onboarding, client review, client offboarding, and accurate administration work.
  • Client Correspondence: Prepare client-facing correspondence and documents for action by the Relationship Managers.
  • Policy and Procedure Review: Thoroughly review and understand policies and procedures during the client onboarding and review process to improve customer experience and organizational operations, while addressing local regulatory requirements.
  • Priority Management: Manage competing priorities, provide explicit directions, and establish clear expectations for stakeholders.
  • Issue Escalation: Appropriately escalate issues to management, compliance, and the business.
  • Confidentiality: Handle sensitive and confidential information in accordance with policy.
  • Client File Evaluation: Evaluate client files for changes, maintain up-to-date records, perform risk analysis, and mitigate risks in close cooperation with the Client Lifecycle Team.
  • Data Security: Store client information confidentially and securely in accordance with local/global guidelines and legislation.

  • Issue Resolution: Resolve issues and queries of team members.
  • Supervision: Supervise team activities and ensure timely delivery of tasks.
  • Performance Reviews: Perform managerial reviews and provide constructive feedback.
  • Training: Provide training to new joiners to ensure they are well-equipped for their roles.

Attributes & Skills:

  • Experience: 5 to 10 years of relevant experience with a corporate service provider.
  • Technical Knowledge: Familiarity with various legal entity types. Ability to understand and articulate ownership chains and organizational structures of varying complexity.
  • Project Management: Strong project management skills. Ability to effectively manage multiple projects of diverse scopes in a cross-functional environment.
  • Analytical and Problem-Solving: Good analytical, conceptual, and problem-solving skills to evaluate business problems and identify appropriate solutions. Demonstrated attention to detail and experience with documenting processes and data verification.
  • Teamwork and Collaboration: Demonstrated experience working successfully with globally distributed teams. Strong collaboration skills.
  • Communication: Strong verbal communication skills, comfortable communicating with other departments and third parties. Clear written communication skills.
  • Educational Background: Must be a graduate, with a degree preferably in legal, tax, compliance, AML, or KYC regulations.
  • Technical Proficiency: Strong working knowledge of Microsoft Office, including MS Project and MS Visio. Experience with third-party outsourcing business models. Prior experience in a shared service center or similar set-up is required.
  • Computer Skills: Microsoft office Outlook, Word, Excel, and PowerPoint; Viewpoint (preferably, if not present, can be trained), Worksite (preferably, if not present, can be trained)
  • Languages: English, although knowledge of any European languages would be advantageous.
