As a Project Manager – Automation & AI, you will be responsible for coordinating client projects. Your role will be to ensure every project is delivered on time, with a high level of quality and rigor, by orchestrating the work of technical teams specialized in building and deploying AI agents. You will act as the guardian of project execution and operational excellence.
Project management & planning
- Define project timelines and milestones.
- Track daily progress and adjust priorities when needed.
- Implement a clear methodology
- Anticipate potential delays and proactively suggest solutions.
Team coordination
- Assign tasks to developers/tech specialists (n8n).
- Centralize technical requirements and ensure they are clearly understood and executed.
- Guarantee deliverables meet defined quality standards.
- Identify and escalate technical blockers quickly.
Quality & rigor
- Define clear quality criteria for each project.
- Review deliverables before final validation.
- Implement testing/review processes to minimize errors.
- Ensure proper documentation for all solutions and projects.
Tracking & reporting
- Create and maintain project dashboards (e.g. Notion / Airtable).
- Produce regular progress reports on timelines, risks, and outcomes.
- Provide concise and operational updates directly to the founder.
- Monitor KPIs: delivery deadlines, quality of outputs, team productivity.
Budget & resource management
- Efficiently allocate human resources based on project priorities.
- Monitor time spent by the team and delivery effectiveness.
- Ensure projects remain within scope, timeline, and budget.
- Anticipate future resourcing needs (internal or freelance) and make recommendations.
Process & continuous improvement
- Optimize internal project management workflows.
- Create SOPs to standardize project tracking and execution.
- Identify tools and solutions to increase team efficiency.
- Support team skill development in project methodologies.
Internal communication
- Act as the go-to person for all project progress inquiries.
- Ensure smooth and structured communication across the team.
- Align technical teams with the priorities defined by the founder.
Experience & background
- Minimum 5–7 years of proven experience in digital/tech project management, with concrete success in SaaS, AI, or automation environments.
- Demonstrated experience managing multidisciplinary technical teams (developers, integrators, tool experts).
- Strong knowledge of project management methodologies (Agile, Scrum, Kanban), with the ability to adapt them to team constraints.
Technical skills
- Solid understanding of automation and integration tools (ideally n8n, Zapier, Make).
- Proficiency with project management tools (Notion, Airtable, Asana, Trello) and documentation (SOPs, workflows).
- Ability to challenge technical decisions and anticipate architectural constraints without being a coder.
- Strong understanding of SaaS environments, CRMs, ERPs, e-commerce, and API integrations.
Organizational skills
- Proven ability to manage multiple complex projects simultaneously under tight deadlines.
- Strong expertise in budget and resource allocation.
- Skilled in implementing and tracking project performance KPIs.
- Extreme attention to detail and commitment to excellence.
Soft skills
- Senior leadership: able to guide, motivate, and empower technical teams.
- Clear and concise communicator, both written and verbal, in English.
- Strategic mindset with flawless operational execution.
- Highly adaptable and proactive in fast-growth environments.
Nice to have
- Experience in startups/scale-ups or digital agencies.
- Used to working closely with founders/executives and reporting directly to top management.
- Passion for AI, automation, and emerging technologies.
- Contract type: Full-time – Remote (India-based).
- Working language: English.
- Availability: Immediate.
- Compensation: Competitive package, based on experience and expertise.
