Role Overview -

The Venue Executive – Operations & Administration is responsible for managing the day-to-day administrative, infrastructure, and event-related functions at Basecamp BCU. This individual will be the single point of contact (SPOC) for all facility and vendor operations, ensuring seamless coordination, high service standards, and timely delivery of operational outcomes.

Key Responsibilities -

1- Facility & Infrastructure Management

2- Own end-to-end responsibility for Security, Electrical, Plumbing, Housekeeping, STP, maintenance, and minor construction activities.

3- Ensure the facility is fully functional, clean, and compliant with operational and safety standards at all times.

4- Implement and monitor Standard Operating Procedures (SOPs) for maintenance, safety, HR, housekeeping, and guest facilities.

5- Vendor & Manpower Coordination - Manage and monitor external vendor teams responsible for facility services.

6- Maintain rosters, attendance, task allocation, and issue resolution for third-party manpower deployed at the site.

7- Ensure timely execution of service contracts, AMC checks, and repair/maintenance schedules.

Operations & Reporting-

1- Maintain logs, checklists, and asset records related to operations.

2- Share weekly and monthly performance updates with the Location Manager.

3- Coordinate with internal audit/compliance teams when needed.

Event Operations & Execution -

1- Plan, coordinate, and support the execution of tournaments, special training programs, and school/academy events.

2- Work closely with the marketing team and Facility Admin for event planning and promotional execution.

3- Coordinate logistics including equipment, facility setup, and vendor manpower.

4- Ensure smooth event-day execution and handle any on-ground escalations.

Client & Internal Coordination -

1- Act as the operational point of contact for client SPOCs, school/academy partners, and internal teams.

2- Maintain event documentation including invoices, expense sheets, vendor payments, and post-event reports.

Requirements -

1- Graduate with 2–5 years of experience in venue/facility management or administrative operations.

2- Strong understanding of facility systems (electrical, plumbing, housekeeping, safety, STP) and vendor management.

3- Experience in event operations and logistics is a plus point.

4- Proficient in MS Excel, task tracking tools, and basic documentation.

5- Excellent coordination, time management, and problem-solving skills.
