Role Overview

The Executive Assistant (EA) will work closely with the CEO and leadership team to provide high-level administrative, operational, and strategic support. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to manage multiple priorities in a fast-paced EV industry environment.

Key Responsibilities

  • Administrative Support
  • Manage CEO's calendar, appointments, travel, and meetings.
  • Draft, review, and manage emails, reports, presentations, and correspondence.
  • Maintain and organize confidential files and records.
  • Operational & Strategic Support
  • Assist in preparing business reports, dashboards, and presentations for internal and external stakeholders.
  • Support in following up with leadership teams (R&D, Operations, Finance, HR, Marketing, Sales) to ensure timely completion of tasks.
  • Track key initiatives, project deadlines, and deliverables for the CEO.
  • Meeting & Communication Management
  • Coordinate and prepare agendas, notes, and action items for leadership meetings.
  • Record minutes of meetings and ensure timely follow-up on assigned tasks.
  • Act as a liaison between the CEO and internal/external stakeholders.
  • Research & Analysis
  • Conduct market/industry research relevant to EV trends, policies, and competitors.
  • Provide insights and briefing notes to support CEO's decision-making.
  • Confidentiality & Discretion
  • Handle sensitive business and employee information with the highest level of confidentiality.

Key Skills & Competencies

  • Excellent communication skills (written & verbal).
  • Strong organizational and time-management abilities.
  • Proficiency in MS Office / Google Workspace (Excel, PowerPoint, Word, Docs, Sheets).
  • Ability to multitask and prioritize in a fast-paced environment.
  • Analytical mindset with attention to detail.
  • High level of professionalism, discretion, and integrity.

Qualifications & Experience

  • Bachelor's degree in Business Administration / Management or related field (MBA preferred).
  • 2–3 years of relevant experience as an EA, Business Analyst, or Operations Coordinator.
  • Prior experience in start-ups, EV/automobile industry, or fast-growth companies is an advantage.
