Position Overview

The ideal candidate will be responsible to provide assistance to the Service Manager in the day-to-day running of the SeaSafe Service Team.


Job Responsibilities

  • Assist the Service Manager to prepare quotations
  • Responsible for the contract manage service jobs as allocated by Service Manager
  • Supervise the Service Administrator and deputize for Service Manager as applicable
  • Prepare the service certification and service reports for approval by the Service Manager / Technical Manager
  • Update and maintain the service database records including logging new jobs onto the computer system
  • Prepare the Service Pack paperwork like the book and job file for the Service Engineers
  • Receive and copy advice notes, time sheets and expense claims upon the completion of each job
  • Allocate new job numbers from job book and raise a new job file
  • Make copy of the invoice, service report and receipts, and send all originals to customer and archive the copies
  • Monitor the shipment and retrieval of the hire equipment as authorized by the Service Manager
  • Prepare the sales order for SeaSafe service work after approval from the Service Manager
  • Seek advice from the Service Manager / Technical Manager for technical queries and the Spares Coordinator for material cost queries
  • Follow up service attendance by issuing service reports and certification to the customer as instructed by the Service Manager
  • Follow up and monitor spares requirements identified during service attendance
  • Assist accounts in preparation of draft invoices and credit notes
  • Assist accounts in monitoring accounts receivable payments with customers
  • Close out work in progress upon issue of the Sales Invoice
  • Maintain holiday database and monitor the service due for renewal within the next 3 months and advise Service Manager
  • Arrange the travel schedule for the Service Engineer as authorized by the Service Manager
  • Responsible for other reasonable administrative duties as may be required from time to time


Qualifications & Experience

  • Degree or Diploma in Maritime / Logistic or related disciplines
  • Minimum 2 years’ experience as a Spare Parts Coordinator / Service Coordinator or in related position
  • Relevant product knowledge, good understanding of SOLAS/LSA code and other applicable regulatory requirements will be an advantage
  • Good command of written and spoken English with strong communication skills
  • Good Team player
