Job Summary:

As the HR and Operations Specialist at Sutra Snapperz, you will play a dual role in managing both our HR functions and the successful execution of projects/events. Your ability to balance these critical responsibilities will be essential to our company's success.


Job Responsibilities:


Human Resources Functions:


1. Staffing and Recruitment:

   - Identify staffing needs.

   - Prepare job descriptions (JD) for the requirement.

   - Source and screen candidates.

   - Schedule and conduct final round interviews.

   - Handle negotiations and offer management for selected candidates.


2. Onboarding:

   - Oversee the onboarding process.

   - Ensure new hires are seamlessly integrated into the company and its HRMS portal.


3. Employee Relations:

   - Address employee concerns, grievances, and conflicts fairly and consistently.

   - Develop and implement HR policies and SOPs that promote positive employee relations.

   - Act as a mediator in resolving workplace conflicts and disputes.

   - Encourage open communication and conflict resolution skills among employees.


4. Training and Development:

   - Identify training needs.

   - Coordinate professional development programs by planning workshops, seminars, or webinars(In-house - Outsourced resources) To keep employee motivation high as a priority. 

   - Foster a culture of continuous learning and growth.


5. Performance Management:

   - Establish a performance management strategy.

   - Define, measure, and track KPIs/KRAs for each role. 

- Monthly performance review based on the performance tracker.

- Introduce a Performance Improvement Programme (PIP) at least for a month based on the performance review.



6. Compensation and Benefits:

   - Stay informed about industry trends to maintain competitive compensation structures.

   

7. Policy Development:

   - Develop and update HR policies and procedures in compliance with employment laws.

   - Implement initiatives to enhance employee engagement, satisfaction, and retention.


8. Employee Engagement:

   - Organize team-building activities and events.

   - Implement initiatives to enhance employee engagement, satisfaction, and retention.


9. Strategic HR Management:

    - Collaborate with senior management to develop and implement HR strategies aligned with the company's goals.

- Maintain Recruitment Reports/HR Reports.


10. Administrative Tasks:

    - Oversee payroll processing.

    - Manage benefits administration.

    - Maintain and update the HRMS portal.



Operations Functions: 


1. Team Placement and Coordination:

   - Prepare team placement rosters for each project.

   - Assign roles and responsibilities to each team member for the project.


2. Client Communication:

   - Inform onboarded clients about our SOPs for the project.

   - Act as the point of contact (POC) for clients throughout the project.

   - Provide updates to clients and address any concerns or requests.


3. Project Execution: 

   - Ensure the smooth and successful execution of each project (On-field/off-field)

  - You will be the team manager at the project location handling the team and end-to-end on-location operations.

  - Check with the team and ensure all necessary photography and videography equipment is available and in working order. 

   - Oversee all aspects of on-site shoot logistics and travel arrangements.

   - Prevent delays and ensure no excessively long breaks during shoots.

-Ensure data Copy on the field and off the field are done, schedule backups by coordinating with the team.

- Ensure no data is lost and maintain a data tracker sheet.


4. Documentation and Reporting:

   - Document all project activities on time.

   - Maintain accurate records of project details, expenses, and client feedback.


5. Post-Production Coordination:

    -Send Project Delivery ETA to Clients 

   - Schedule projects with post-production teams for editing and finalizing photos and videos.

   - Ensure the timely delivery of the finished product to clients.

  - Maintaining project tracker on Excel and Project Management tool for tracking and reporting purposes.


6. Issue Resolution and Adaptation:

   - Identify and resolve any issues or challenges that arise during shoots.

   - Make quick decisions to adapt to changing circumstances.

   - Inform management in case of priority issues.


7. Vendor Collaboration:

   - Collaborate with external vendors such as camera rentals, drone operators, taxi/cab services, and venues to ensure smooth shoot operations.


8. Quality Improvement:

    - Implement best practices to enhance the quality of our services.



Required Qualifications:

  • 2-3 years of experience in the HR & Operations domain or related field.
  • BBA/MBA degree or a related field.
  • Proficiency using job portals to source candidates (LinkedIn, Social Media, Indeed, etc.)
  • Proficiency in handling end-to-end recruitment cycle.
  • Basic knowledge of project planning, management and tracking.
  • Excellent communication and interpersonal skills.
  • Proficiency in using and managing HRMS Portal and ATS.
  • Strong organizational and multitasking abilities.
  • Problem solving skills and ability to make quick decisions.
  • Basic knowledge of Excel.



Preferred Qualifications:

  • Experience in event management or related industry is a plus.
