Position Overview:
Executive Assistant provides high-level administrative support to senior executives, ensuring efficient management of their schedules, communications, and daily activities. This role involves handling confidential information, coordinating projects, and acting as a liaison between the executive and internal/external stakeholders.
Key Responsibilities:
1.Administrative Support:
- Manage and prioritize the executive’s calendar, including scheduling meetings, appointments, and travel.
- Prepare, review, and edit correspondence, reports, and presentations.
- Handle incoming and outgoing communications, including emails, calls, and messages.
2. Meeting Coordination:
- Organize and coordinate meetings, including setting agendas, preparing materials, and taking minutes.
- Follow up on action items to ensure timely completion.
3. Travel and Expense Management:
- Arrange domestic and international travel, including flights, accommodations, and itineraries.
- Process expense reports and reimbursements in a timely and accurate manner.
4.Project Support:
- Assist in managing and tracking projects, ensuring deadlines and objectives are met.
- Conduct research and compile data to support decision-making.
5. Relationship Management:
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Build and maintain strong professional relationships to facilitate communication and collaboration.
6.Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality and professionalism.
7.Office Management (if applicable):
- Order supplies, manage budgets, and oversee administrative processes within the executive’s office.
Qualifications:
- Proven experience as an Executive Assistant or in a similar role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Ability to manage multiple priorities and work under pressure in a fast-paced environment.
- High degree of discretion and professionalism.
- Bachelor’s degree in Business Administration or a related field (preferred).
