Role Overview

We are seeking a highly organized, stable, and detail-oriented Executive Assistant to provide direct support to senior leadership. This role requires a professional who can efficiently manage travel bookings, handle financial transactions, analyze purchase orders, and perform other high-impact administrative tasks to improve workflow efficiency.

Key ResponsibilitiesExecutive & Administrative Support

  • Provide high-level support to senior leadership, ensuring smooth daily operations.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Draft, review, and manage correspondence, reports, and presentations.
  • Handle confidential documents and maintain discretion in sensitive matters.
  • Record and circulate Minutes of Meetings (MOM) accurately and in a timely manner.

Travel & Expense Management

  • Book flights, hotels, and travel logistics while optimizing costs.
  • Ensure compliance with company travel policies and handle itinerary adjustments.
  • Process and reconcile expense reports, reimbursements, and claims efficiently.
  • Liaise with credit card agencies and banks for corporate and personal finance-related matters.

Financial & Analytical Responsibilities

  • Assist in analyzing purchase orders by comparing vendor quotations and pricing.
  • Support in budgeting, invoice processing, and monitoring financial records.
  • Prepare reports and presentations with financial insights for decision-making.

Communication & Coordination

  • Act as the point of contact between executives, internal teams, and external stakeholders.
  • Handle inquiries, prioritize tasks, and ensure timely communication.
  • Collaborate with vendors, suppliers, and service providers to streamline operations.

Qualifications & Skills Required

  • 3-5 years of experience in executive assistance, administration, or a similar role.
  • Strong analytical skills – ability to compare financial data, analyze purchase orders, and provide cost-effective solutions.
  • Proficiency in travel coordination – experience booking flights, hotels, and handling visa applications.
  • Knowledge of personal finance or banking – ability to interact with credit card agencies and manage expense tracking.
  • Excellent communication skills – written and verbal, with attention to detail.
  • Proficiency in MS Office (Excel, Word, PowerPoint) – for data management and reporting.
  • Problem-solving mindset & ability to handle pressure in a fast-paced environment.
  • Highly organized and self-motivated – able to work independently and manage multiple priorities.
  • Experience in the engineering or manufacturing industry is a plus.
  • Bachelor’s degree in Business Administration, Finance, or a related field.
