Position Overview: We are seeking a highly skilled and experienced Facility Executive to oversee the efficient operation and maintenance of our facilities. The ideal candidate will have a strong background in facilities management, with expertise in both soft and hard services. You will be responsible for ensuring the smooth functioning of critical equipment, managing vendor relationships, ensuring compliance with safety regulations, and leading a team to provide exceptional service to our internal clients.


Key Responsibilities:

1. Facilities Management:

  • Oversee both soft services (e.g., access control, CCTV, vendor management) and hard services (e.g., preventive maintenance for critical equipment).
  • Ensure preventive maintenance activities for critical equipment, including UPS, DG sets, HVAC, and fire alarm systems, are conducted as scheduled.
  • Manage and renew Annual Maintenance Contracts (AMCs) for critical equipment, ensuring contracts are beneficial and align with company needs.

2. Safety and Compliance:

  • Ensure compliance with health and safety regulations, company policies, and ISO standards.
  • Implement hazard control practices and conduct emergency drills. Demonstrate knowledge of the fire triangle and extinguisher types.
  • Analyze incidents involving critical equipment, perform Root Cause Analysis (RCA), and manage incident response procedures.
  • Prepare and maintain accurate and timely management reports.

3. Problem-Solving and Decision-Making:

  • Address and resolve challenging problems related to critical equipment or emergency situations. Provide solutions and ensure effective outcomes.

4. Procurement and Vendor Management:

  • Handle procurement processes, purchase orders, and manage vendor relationships to meet Service Level Agreements (SLAs).
  • Negotiate with vendors to achieve favourable terms and ensure no stockout situations.
  • Ensure background verification (BGV) of support staff is done by provider.

5. Housekeeping and Sanitization:

  • Implement and oversee housekeeping and sanitization methods to maintain a clean and safe environment.

6. Leadership and Team Management:

  • Lead, motivate, and manage the facilities team to ensure high performance and accountability.
  • Address team conflicts, provide training and development opportunities.

7. Event and Employee Engagement Management:

  • Organize major employee engagement events (e.g., sports tournaments, annual town halls) and measure their success.
  • Manage expatriate itineraries, schedules, and related needs (e.g., food and accommodations).

8. Customer Service and Internal Client Management:

  • Oversee cafeteria, travel desk, and employee transportation management.
  • Ensure facilities services meet the needs of staff and clients.
  • Communicate technical issues effectively to non-technical stakeholders.

9. Innovations and Trends in Facilities Management:

  • Utilize technology and software tools to enhance facilities operations and efficiency.
  • Stay informed about trends impacting facilities management and implement relevant innovations.

Qualifications:

  • Proven experience of minimum 5 years in facilities management, with a strong understanding of both soft and hard services.
  • Relevant certifications or training in facilities management or related fields.
  • Experience with preventive maintenance, AMC renewal, and vendor management.
  • Strong knowledge of safety regulations, compliance standards, and emergency procedures.
  • Excellent problem-solving skills and ability to make informed decisions.
  • Effective leadership and team management capabilities.
  • Proficiency in managing procurement processes and vendor negotiations.
  • Experience in organizing employee engagement events and managing expatriate needs.
  • Strong customer service skills with the ability to communicate technical issues to non-technical staff.
  • Familiarity with current technologies and trends in facilities management.
