JOB PROFILE FOR Middle East – Logistics

Processing of Orders:

Issue Proforma Invoice new Business on Customers Sales order / Purchase order creation on Plants (India, Vietnam, China, Europe, Latam etc)

With in 2 working days of receipt of Purchase Order from customer.

Sales order entry accuracy & Completeness should be 100% in line with customer PO. Unclear SO should be put on correct delivery block and timely release of credit blocks. Commission/Rebate provision to be kept in sales order wherever required. For any ICTP Changes, Old Order to be closed and new order to be created for balance Qty. Sample order creation for more than 5 Kg Orders. Troubleshooting sales order issues during production activities and document generation. Ensure order accuracy. (Inco terms, price, Qty, shipping marks & Shipping instruction). Ensure all order’s prices correctly maintained in S.O. Arrange for samples as requested by customer in coordination with plant and logistics to execute the sample dispatch. If sample is more than 5 KG, sample sales order needs to be created.

Customer/Material code creation & Extension co-ordination :

Initiate New customer codes creation & extension process and ensure follow up with stakeholders for completion. Initiate Material code creation and extension to required plants along with correct transfer prices wherever applicable

Traded products co-ordination via India/China: (If any bought out product is required from China via India Source)

Request for quotes (RFQ) from procurement team (India). Create RFQ/Quotations/ PO on China Vendors. PO release process to be followed and PO to be released within 2 working days of receipt of customer PO/PFI. PO copy should be sent to China team. On receipt of customer PO, create SO and intimate purchase team. Get the dummy Pics approved from region upon receipt from vendor. Co-ordinate with logistics planner for smooth flow of the documents. Any other activity which may be needed.

Order tracking & Logistics / Shipping Co-ordination.

Daily/Weekly updation of Order book with production dates, vessel Planning etc. Share shipment updates with customers and Sales team. Shipment Tracking from various locations and Highlighting concerns/issues. Follow up with plants/ Logistics/ documentation teams (Commitment date/Readiness dates/ETD/ETA, Vessel details, documents delivery to the customers.) Maintain order book hygiene. (cancelled order & partial order to be closed Weekly) Co-Ordination with logistics team to lineup the containers as per readiness date & shipment prioritization. Sales return & Back to town activities. Update on logistics delays/Concerns related to orders timely.

Raising Customer complaints & Tracking.

Raise quality/logistics complaint in SAP. Follow up with Plant QC for CAPA & complaint closure within TAT.

Requirement in candidate:

He/ She should have min 4-5 years of Customer service, logistics, Export shipping documentation and planning experience, He/ She should also have experience in SAP SD and MM Module for SO and PO creation, Very good Communication Skills, If he/ she can speak Arabic language than have added advantage Also He/ She should have very good Excel skills to maintain MIS and reporting.
