Your role in the team

The role will covers admin for our Senior Leaders in Bangalore, assisting with visiting ExCo members and providing assistance with Technology Hub articles from Bangalore.

You will work with leaders to communicate to a wide variety of internal audiences across live events, videos, podcasts, emails, newsletters, blog posts and more.

What you’ll do

Admin Assistant:

Manage and coordinate the professional calendar, including scheduling meetings, appointments, and phone calls.

Book meeting rooms and manage logistics for in-person and virtual meetings.

Screen and prioritize incoming communications (emails, calls, etc.), ensuring timely responses and appropriate redirection.

Organize and manage all travel arrangements, including accommodations, transportation, and any other arrangements.

Track and manage travel expenses, ensuring timely submission and reconciliation through Concur.

Assist in planning and coordinating team meetings, including taking and distributing meeting minutes, and following up on action items.

Maintain the highest level of confidentiality and professionalism in handling sensitive information and materials.

Identify areas for process improvement and implement more efficient administrative systems. Assist with special projects and initiatives as assigned.

Comms Support:

Partner with BU marketing and stakeholders to develop marketing materials such as client invitations, brochures, signage, digital ads, email communications, etc.

Positioning IG with key media influencers within India and at relevant global events.

 Providing communications support for our regional business leaders.

 Writing high-quality editorial content for different audiences and platforms – from press releases and features to blogs and dynamic content.

 Highlighting the positive impact IG’s CSR initiatives are making in India, both through the media and internally across our local employee base.

Regionalizing global messaging and communications materials to ensure they resonate with local audiences.

Leading and creating regional Town Hall meetings and other internal events, employee newsletters, comms reporting.

What you’ll need for this role

Experience of supporting C level execs in multinational environment.

A minimum of years’ communications experience across internal and external comms and working as a Executive assistant.

Experience with Outlook, Excel and SharePoint.

Good Experience at MS PowerPoint and creating Decks and PPTs for executive presentations etc.

Excellent written and verbal communications skills.

Experience in project management or event management, supporting executives or leading cross-functional programs.

Ability to think, plan and execute on multiple projects simultaneously, and work efficiently with a global team of colleagues and cross-functional stakeholders.
