Summary

Operational

·Checking room blocking for present day, next day and seven days out.

·Assign room according to guest request and preferences whenever possible.

·Pre-register designated guests and prepare key packets.

·Organize and coordinate check-in/pre-registration procedures for arriving groups.

·Review/Track/Accommodate requests for room/check-out changes when possible; communicate status to appropriate staff. Confirm reservations and cancellations.

·Review out-of-order rooms daily. Ensure rates match market codes and document exceptions.

·Verify and adjust billing for guests. Set up/process all guest check-ins/check-outs.

·Activate room keys. Secure valid payment. Identify any over-commitments. Perform duplicate reservation checks; block rooms. Run daily reports. Follow up with guests to ensure their requests or problems have been met to their satisfaction.

·Responsible for coordinating daily arrivals and departures. Communicates all Guest requests. Plans for the week in advance by foreseeing pickup of occupancy and handling the inventory. Ensuring optimum Guest service and satisfaction by being a backbone of Front Office.

·Profile screening/merging/traces and alerts for arrivals of present day, next day and seven days out.

·Checking of emails, responding to queries and arranging show around rooms.

·Coordination with Housekeeping for the rooms of VIPS, Elite (Discoverist, EXplorist, Globalist, Lifetime Globalist and Courtesy Card holders). Special requests & Single women amenities placed in room. Also monitoring Web check INS.

·Checking credit limit – following up with guests on high balance to partially settle bills.

·Screening of arrivals with profile, alerts, traces, transportation updated and consequently rooms to be blocked accordingly.

·Elite guests, long staying guests and suite arrivals to be screened and blocked five days in advance.

·Coordinate with Housekeeping and Engineering to minimize OOS and OOO rooms.

·Next day departure control to be done prior to 19:00 hours. Receive, record, and relay messages accurately, completely, and legibly.

·Welcome and acknowledge all guests according to company standards; anticipate and address guests’ service needs; assist individuals with disabilities; thank guests with genuine appreciation

·Trace report to be checked and resolved on daily basis for guest’s requests.

·Inventory management and keeping a list of all types of categories.

·Following a set process of rooms follow up for inspected status with floor supervisors.

·Suites Inventory to be managed 14 days in advance.

·Coordination with sales, reservations/revenue for future block, preferences, rooms allocation as per the group requirement.

People

·Supports the implementation of The People Philosophy, demonstrating and reinforcing Hyatt’s Values and Culture Characteristics.

Other duties

·Coordinate tasks and work with other departments.

·Serve as a departmental role model. Develop and maintain positive working relationships with others; support team to reach common goals.

·Comply with quality assurance standards.

·Perform other reasonable job duties as requested by Supervisors.

·Preventive maintenance rooms coordination with Housekeeping.

·Exercises responsible behaviour at all times and positively representing the hotel team and Hyatt International.

·Reads the hotel's Employee Handbook and have an understanding of and adhere to the hotel's rules and regulations and in particular, the policies and procedures relating to fire, hygiene, health and safety.

·Ensures high standards of personal presentation and grooming.

·Carries out any other reasonable duties and responsibilities as assigned.

Qualifications

·Minimum 2+ years of experience in similar position.

·Ideally with a relevant degree or diploma in Hospitality or Tourism management.

·Excellent problem solving and interpersonal skills.
