  • To ensure manual and electronicpersonnel files and records are maintained accurately timely andefficiently
  • To coordinate and administer allpaper flow within the Division
  • To assist withthe coordination and administration of the employee recognitionprogram
  • To ensure that employee facilities aremaintained and are within standards i.e. Employee locker roomsemployee restaurant and housing and employees smokingarea
  • To assist with the implementation andadministration of employee relations benefit and compensation andrecruitment programmes
  • To locate and attach andset up appropriate file correspondence to be answered by DivisionHead
  • To type file and upkeep of allcorrespondence related to thedepartment 
  • To set up a systematic andefficient updated filing system both for hard files as well as allelectronic data that enables quickretrieval.
  • To answer telephone and giveinformation to callers or routes call to appropriate official andplaces outgoing calls
  • To greet visitorsascertains nature of business and conducts visitors to employer orappropriate person
  • Type take dictation andminutes draft letters file and trace composecorrespondence
  • Handle outgoing mails bycourier
  • Prepare submission of medical claims toinsurance company once a month
  • Ensure allentitlements accorded or cancelled are properly recorded andupdated
  • Handle monthly/weekly requisition ofstationeries/general and dry goodsstores
  • Update employees leaves attendance andrecords onto the Human Resources ComputerSystem
  • Check and update employees attendancerecords for thepayroll
  • Support theadministration of probationary review and performanceappraisals
  • Participate and assist the HumanResource Manager and Training Manager in administration andpreparation of the inhouseNewsletter.

Qualifications:

  • Bachelorsdegree in Human Resources Business Administration or a relatedfield.
