Description

for Admin and Soft Services Assistance Manager:

Job Title: Admin and Soft Services Assistance Manager

Reports to: Facilities Manager or Operations Manager

Key Responsibilities:

Admin:

1. Manage day-to-day administrative tasks, such as email, phone, and mail.

2. Maintain accurate records, files, and databases.

3. Coordinate travel arrangements, meetings, and appointments.

4. Prepare and edit documents, reports, and presentations.

5. Manage office supplies and inventory.

Soft Services:

1. Oversee soft services, including housekeeping, catering, and reception.

2. Ensure high-quality service delivery and customer satisfaction.

3. Manage vendor contracts and relationships.

4. Coordinate events, meetings, and conferences.

5. Maintain a clean, safe, and healthy work environment.

Assistance:

1. Provide support to the facilities team, including maintenance and repairs.

2. Assist with budgeting, forecasting, and financial management.

3. Coordinate with other departments, such as HR and IT.

4. Develop and implement process improvements.

5. Provide exceptional customer service to employees and visitors.

Requirements:

1. 2-3 years of experience in administration, facilities, or a related field.

2. Strong communication, organizational, and problem-solving skills.

3. Ability to multitask, prioritize, and manage multiple projects.

4. Proficient in MS Office, Google Suite, or similar software.

5. High school diploma or equivalent required; degree preferred.
