Job Overview

We are seeking a Mid-Level Administrative Executive Assistant to join our team in Hyderabad. This is a full-time position requiring a minimum of 4 years to a maximum of 6 years of relevant work experience. The ideal candidate will be highly organized, possess excellent communication skills, and be proficient in managing calendars and schedules.


Qualifications and Skills

  • Organizational skills (Mandatory skill): Ability to establish and maintain purposeful and effective office procedures and be organized in managing multiple tasks.
  • Communication skills (Mandatory skill): Excellent verbal and written communication skills, capable of interacting with high-level executives and stakeholders.
  • Calendar management (Mandatory skill): Proficient in scheduling and maintaining complex calendars for executives and managing their daily schedules efficiently.
  • Time management: Ability to manage time effectively, ensuring all tasks are completed promptly and deadlines are met.
  • Attention to detail: Keen attention to detail to ensure accuracy and comprehensiveness in all administrative tasks.
  • Microsoft Office proficiency: Strong skills in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
  • Travel coordination: Experience in organizing travel arrangements, including booking flights, accommodation, and preparing travel itineraries.
  • Problem-solving skills: Capable of identifying issues quickly and resolving them efficiently to support the teams productivity.


Roles and Responsibilities

  • Manage the daily schedule and calendar, ensuring that all appointments and meetings are accurately organized and confirmed.
  • Prepare and compile various reports, documents, and presentations as required by the executives.
  • Coordinate and arrange travel plans, including booking flights, accommodation, and transportation, while keeping track of travel expenses.
  • Handle incoming communications and emails, responding when necessary or forwarding to appropriate personnel.
  • Liaise with internal and external stakeholders to schedule meetings, arrange appointments, and follow up on action items.
  • Maintain confidential files and records, ensuring sensitive information is securely stored and only accessible to authorized personnel.
  • Assist in organizing company events, meetings, and conferences, ensuring all logistical details are well managed.
  • Perform general administrative tasks such as filing, photocopying, scanning, and ordering office supplies as needed.
